    About the Role


    The Northern Alberta YMCA is looking for a Child Care Registrar (Business Administrator). The role manages the child care waitlist, monitors operational capacity, and facilitates offers and new registrations for families across all YMCA Child Care locations. The ideal candidate is tech‑savvy, detail‑oriented, and provides excellent customer service.

    Responsibilities

    • Manage child care waitlists to ensure sites operate at capacity, including outbound emails and phone calls to offer care.
    • Support families through online registration and intake processes.
    • Provide technical, financial, and account‑management support to parents, members, and staff using a case‑management or ticketing system.
    • Liaise with third‑party agencies and families to support invoicing and receipt of 3rd‑party billing and government subsidy funding.
    • Prepare and complete monthly government claims and invoices, including audits and reconciliation.
    • Manage accounts receivable, including communication with staff and customers to update payment information and minimize debt.
    • Maintain accurate, complete, and current accounts and financial transactions in our CRM (Avocado & Salesforce).
    • Identify, develop, test, and implement solutions for new use cases, workflows, process changes, and technology upgrades to deliver exceptional customer service.
    • Support workflow and process improvements for centralized registration and account‑management processes.
    • Develop appropriate reports to support YMCA systems, initiatives, and operations.
    • Assist with other administrative tasks, functions, and duties as required.

    Qualifications

    • Previous experience with child care delivery, registration, and account management; enterprise systems and data management in Salesforce is an asset.
    • Effective technical writing and verbal communication skills with strong attention to detail and customer service.
    • Minimum 2+ years of administrative experience or a combination of education and experience.
    • Certificate, diploma, or degree in administration, accounting, information systems, or related field is an asset.
    • Intermediate to advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint).
