Operations Manager
As the
Office Operations Manager, the Employee reports to the Founder and President, works alongside the Human Resources Manager and the Accounting and Financial Controller and will undertake the following duties, which include but are not limited to the following:

CEO Support & Business Development

  • Provide support to the CEO by overseeing the office operations of DGS Events
  • Provide administrative and management support to the CEO
  • Support the CEO in managing DGS Events divisions: DGS Signature, DGS Allure and DGS Taste
  • Assist management with strategic goals
  • Assist with offering new business ideas for the growth of DGS Events
  • Assist the CEO to manage the growth of DGS Events divisions: DGS Signature, DGS Taste and DGS Allure
  • Work closely with other departments to quote and deliver rates proposals and RFP responses on time and accurately.
  • Build and maintain relationships with existing and new clients generated and provided by DGS Events
  • Attend to clients concerns and cater to client needs with regards to assisting with the staffing of events and offer constructive and creative solutions
  • Organize and attend all the CEO direct report meetings, create and distribute minutes to various departments to inform them of management's decisions, including followups, Q&As documents and assign action items when required
  • Represent the CEO at various meetings or events and at times these may be scheduled on weekends or outside regular business working hours
  • Perform other duties as assigned by the CEO.

Client Care and Staffing Care Operations

  • Assign, supervise and manage the different departments and office teams in the office
  • Client Care Department including Account Managers
  • Staffing Care Department including Office Staff, Floor Staff Booking, HR and orientations Schedule
  • IT Department (DGS platform, website, and social media)
  • Develop relationships DGS's employees, Floor Staff and clients
  • Develop and implement annual objectives for Employees and conduct quarterly reviews and trajectory plans
  • Coordinate and develop a tracking process of various departmental assignments and projects, complete followups and provide the CEO with weekly and monthly updates as requested
  • Overall facilities management for the office with the support of the Accounting and Financial Controller (supplies, mail, maintenance, office hardware and software, etc.)
  • Develop, implement and maintain administrative procedures to organize and improve the efficiency and effectiveness of the various departments.
  • Handle emergency client situations such as scheduling changes and cancellations
  • Rotate oncall phone duties for after hours and weekends
  • Supervision of the staff for schedule, punctuality, timelines and deadlines
  • Report office and events staff performance issues to Management
  • Oversee the overall Office operations of DGS except for the Accounting and Financial Controller who will continue to report to the President but will work in close relationship with the Office Operations Manager
  • Include all other present and future duties involved in the position of Office Operations Manager
  • Create and implement streamlined and simplified booking and tracking policies and company policies
  • Proactive management of the client calendar to ensure we are impacting our client accounts and offering best in class customer service.
  • Other duties as assigned

Human Resources Duties

  • Responsible for the Human Resources, recruitment, performance, attendance, and vacation entitlements of the DGS Office Staff
  • Act as company HR representative including hiring, onboarding process and disciplinary procedures
  • Screening and recruiting office staff if/as needed
  • Screening and recruiting floor staff including supervisors, wait and bar staff (referred to as floor staff)
  • Orientation and professional development materials
  • Staff orientation schedule and onboarding materials
  • Review and approve booking and staffing of Events
  • Oversee the Evaluation of supervisors and floor staff by the Staffing Care Department and Allure Manager as required
  • Other duties as assigned

Marketing & social media

  • Develop and implement DGS Marketing and Social Media presence as well as initiatives and strategies.
  • Oversee the production of all DGS Marketing materials
  • Ensure DGS Social Media platforms are up to date on existing platforms: Facebook, Twitter, Instagram
  • Other duties as assigned

Salary:
$73,256.00-$80,149.00 per year
