As an _
Office Coordinator _on our team, you will ensure a positive first impression of Monarch House for internal (employees, contractors) and external (public, vendors, funders) stakeholders.

Effectively listening and asking questions to ensure calls and inquiries can be directed to the appropriate person, the Office Coordinator ensures excellence in customer service and timely response.

The Office Coordinator provides administrative support to the clinic through oversite of the entire schedule, ensuring clinical quality and the efficient and profitable operation of the clinic in accordance with the mission, core values, guidelines, and quality of standards established by Monarch House.


Take an inside look at what you will do each day:

  • Analyzes and monitors entire clinic schedule in relations to financial performance to improve the outcomes of treatment/ services delivered and profitability of the facility and provides appropriate feedback for corrective action to the Regional Director and Clinic Manager.
  • Receives treatment schedules and enters appointments into CentralReach on an ongoing basis.
  • Maintain office staff lists, staff duties lists, bulletin boards, kitchen, general office entrance areas, etc. as applicable.
  • Adjust MH personnel and client schedules for vacation, illness, etc. to ensure efficiency of schedules and maintenance of client service delivery.
  • Utilize effective and courteous communication skills to answer the phone, greet visitors, respond to questions, and collect information to direct inquiries.
  • Participate in administrative projects, create client/employee files, maintain staff/client records and filing.
  • Monitors customer service and takes remedial action to deal with complaints and problems from patients and referral sources.
  • Maintain operation of photocopier, stocking of supplies, scanning, copying, and filing of documents.
  • Maintain office staff lists, staff duties lists, bulletin boards, kitchen, general office entrance areas, etc. as applicable.
  • Ensure the cleanliness and tidiness of the clinic. Coordinator repairs and general maintenance as required.

Here is what you will need to be successful:

  • Have a Diploma or Certificate in Business Administration, Medical Administration, or related field
  • Minimum 1 year of experience in Customer Service or an administrative role
  • 1 year of experience in a call center environment
  • Medical knowledge and/or medical background considered an asset
  • Strong interpersonal and problemsolving skills
  • Excellent verbal and written communication skills
