Description

The Administrative Assistant will provide a wide range of administrative services to the business reporting to the VP/GM, while supporting the Maritime Canada Senior Leadership Team, and working in collaboration with the Administrative Services Manager and providing Receptionist coverage as required.


  • Front desk responsibilities & daytoday tasks including, but not limited to the following: managing detailed business and personal calendars, meetings, and logistics, handling communications, preparing materials, and setting up company activities.
  • Provide general administrative support to the business (including GM/VP & SLT) and other functions as directed by the VP/GM.
  • Provide administrative support to Company Security Officer/Administrative Services Manager.
  • Coordinate regional and international travel arrangements.
  • Coordinate event planning, onsite catering and Corporate Social Responsibility initiatives.
  • Manage office supply orders and associated documentation.
  • Other tasks as assigned.
  • Minimum Grade 12 diploma with proven experience as an Administrative Assistant.
  • Completion of a relevant certificate or college program considered an asset.
  • Experience in a fastpaced administrative role where the work involved multitasking and flexibility.
  • Excellent PC skills (Office 365, Word, Excel, PowerPoint, Adobe Acrobat, Visio) and the ability to learn and use new software and systems easily is essential for the role.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problemsolving skills.
  • Technical background would be considered an asset.
  • This position will be required to work primarily on site but may come with some degree of a flexible working option.
