Duties

  • Greet visitors and clients warmly, providing professional and courteous assistance at all times
  • Manage multi-line phone systems, directing calls efficiently and taking detailed messages when necessary
  • Handle front desk responsibilities including checking in appointments and maintaining visitor logs
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Utilize computer skills with Microsoft Office, Google Workspace, and other relevant software to prepare reports and correspondence
  • Assist with basic bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Maintain cleanliness and organization of the reception area to promote a professional environment
  • Provide customer support by addressing inquiries promptly and professionally

Requirements

  • Proven experience in office management or administrative support roles, preferably as a receptionist or in clerical positions
  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, and typing skills
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Knowledge of office equipment such as printers, scanners, and fax machines is preferred
  • Exceptional organizational skills with keen attention to detail for proofreading and filing tasks
  • Ability to handle multiple priorities efficiently with strong time management skills
  • Previous experience in customer service or customer support roles is advantageous
  • Familiarity with medical or dental receptionist duties, including calendar management for appointments (nice-to-have)
  • Personal assistant experience or experience with bookkeeping using QuickBooks is a plus
