Admissions Assistant

  • Acting Position

International Students and Admissions Office

CUPE Local 4400, Unit C - Grade J (12 Month)

$27.40 per hour

(It is anticipated that the acting assignment will end on April 1, 2024)

  • Reporting to the Manager, International Students and Admissions Office, the Admissions Assistant will _
- routine inquiries about admission of non-resident pupils in TDSB schools. Also, to provide administrative _
- and secretarial support to the Manager, International Students & Admissions Office. This includes word _
- processing and database management, arranging meetings, preparing reports, and preparing routine _
- correspondence, working with SAP and SIS, responding to general queries and analyzing information _
- for the Manager. The work will also involve maintaining the orderly flow of information and accurate _
- record keeping for the office including enrollment of international students, health insurance information, _
- information from Planning Department, admission letters etc. _


Summary of Duties:

Provide information to clients (walk-in and overseas inquiries) on the international student program, and

routine admissions questions, for students who may have to pay fees;
Contact schools regarding placement of international students;
Prepare all correspondence/forms related to international students and other admission categories;
Administer the appropriate documentation to indemnify the Board from any liability;
Work with the TDSB approved agents to register students;
Manage the appropriate paperwork and documentation in relation to payment of agents;
Work with the approved Health Insurance carriers and maintain associated records;
Maintain office records;
Review mail and prepare responses;
Maintain confidential files for Manager;
Research and collect information for reports;
Assist with the monitoring of department budget;
Schedule appointments and meetings;
Assist other staff and provide back-up as required;
Liaise with schools, administrative departments, and external organizations;
Act as resource person for general inquiries from the public and staff, regarding international students

and admission requirements for non-resident students;
Communicate regularly with Board staff and the general public; and
Other related duties as assigned.


Qualifications:

Secondary School Diploma including computer courses with three years related administrative

experience, or an equivalent combination of education and experience;
Proficient keyboarding skills and expertise in the use of computer technology, including word processing,

Ability to communicate in a sensitive, courteous manner with students, parents, community members,
staff, and the general public with a customer service focus;

Working knowledge of related legislation:
Board policies and procedures, and Ministry policies;
Understanding of related government documents and forms;
Proven ability to work under pressure in order to meet frequent deadlines;
Ability to take initiative, work independently, and maintain confidential information in a circumspect

manner; and
Good organizational skills.


Assets:

Fluency in speaking a second language.
