    We are now accepting applications for a Communications and Events Coordinator to help provide agency wide support.

    As a Communications and Events Coordinator, the successful application will help support daily operations across multiple sites through clerical assistance, purchasing coordination, and event support.

    Hours / Schedule:

    • Full-Time, Permanent
    • Based on 40-hours per week

    Responsibilities:


    The Communications and Events Coordinator will assist in strengthen communication between locations and assists committees and contributes to planning by maintaining well-organized information systems and leveraging strong technology skills.

    As the Communication and Events Coordinator, your responsibilities would include:

    • Provide administrative and front-desk support for both Kelowna arc program locations on occasion.
    • Provide support to arc programs' internal committees with scheduling, minute-taking, document organization, and tracking action items.
    • Maintain accurate digital filing systems, shared drives, and technology-based workflows.
    • Utilize advanced Microsoft environment expertise—particularly in Excel—to enhance process efficiency through precise reporting and the development of streamlined tracking tools.
    • Monitor swag/promo inventory and promptly notify relevant stakeholders when supplies are running low.
    • Support purchasing activities by obtaining quotes for swag/promo Items, event venues.
    • Managing and organize communication with vendors to help inform purchasing decisions.
    • Work to secure the most competitive pricing on swag/promo Items and event venues.
    • Research swag/promo alternative Items when necessary.
    • Monitor progress of delivery schedules for swag/promo items ordered.
    • Assist with coordinating staff events and community-facing activities, including logistics, venue bookings, equipment, and catering.
    • Prepare promotional items for staff representing arc programs at outreach and public events.
    • Regularly review event details before and after the time of event to ensure all information is accurate and up to date.
    • Be a point of contact for external presenters to ensure they have all necessary resources and support.

    Preferred Education and Experience:


    Educational requirements:

    • Diploma or Certificate in a related discipline (Administrative Assistant or Business Administration, Event Planning, Project Management or Communications) or a combination of relevant training and related experience.

    To be successful in your role, you'll also need:

    • Understand the planning and execution that goes into a successful event
    • Have effective clerical and data-entry skills.
    • Be skilled at establishing trusting relationships with co-workers, agency staff and supervisors.
    • Have excellent communication skills, verbal and written.
    • Maintain a high level of organization and attention to detail.
    • Have knowledge of and experience with conflict resolution in the workplace.
    • Function effectively both independently and as part of a team, in a fast-paced working environment

    Other Requirements


    Given the nature of our work, please note that all shortlisted candidates:

    • Need a valid BC Driver's License, regional insurance, and a reliable personal vehicle.
    • Must undergo a screening process, including a criminal record search.

    Wage / Benefits:


    $ 27.40 – $ 28.85 per hour based on experience and education.

    Upon successful completion of a trial period, this position is eligible for a full benefit package (including dental plan, vision coverage, life insurance, extended medical coverage, long-term disability plan, and RRSP or TFSA contributions); as well as accrued vacation and sick time at 5.8% - above BC Employment Standards
