Forestview is a home that supports individuals with a dual diagnosis in a treatment home, located in Burketon, Ontario.

At Forestview, you will be working in an administrative role to assist with a multi-disciplinary team that supports residents through their treatment goals to access services in the community.

The primary responsibility of the Scheduler / Administrative Assistant is to provide professional support to the Program Manager and the team.

The Scheduler / Administrative Assistant carries out specified scheduling and administrative duties, provides clerical support to the program, and assists in responding to calls and inquiries from community agencies and the public.


SCHEDULING AND ADMINISTRATIVE RESPONSIBILITIES:


  • Perform all scheduling duties for the location (filling open shifts, taking sick calls, on call, etc.)
  • Handle the schedule for the location, and other locations as required, following operational requirements, policies, and procedures.
  • Be oncall for scheduling as required.
  • Under the direction of the program manager, book staffing coverage for advance needs, project work, emergencies, workload increases, and shortterm/long term leaves.
  • Support the creation of master schedules, review time off requests, timesheet processing, and investigation of scheduling incidents.
  • Answering and redirecting phone calls.
  • Attend to visitors and deal with any inquiries.
  • Enter proprietary information into the computer.
  • Prepare printed materials in the required quantities for various functions and meetings of the employer.
  • Take and transcribe notes during meetings in the appropriate language taken in dictation sessions or at meetings, conferences, conventions, etc.
  • Perform simple accounting procedures in respect of CLAPW's office operations and functions.
  • Utilize computer, fax, photocopier, and Internet to perform required functions.
  • Receive incoming mail and prepare outgoing mail.
  • Aid managers and/or other staff members on an as required basis.
  • Work cooperatively with other departments to ensure the efficient operation of the organization.
  • All other related duties as may be assigned from time to time.

KNOWLEDGE, SKILLS AND ABILITIES:


  • Experience with a computerized scheduling program (When to Work preferred).
  • Experience in scheduling, timekeeping and building of master rotations.
  • Understanding of Collective Agreements and scheduling rules in 24/7 operational settings.
  • Demonstrate excellent organizational skills.
  • Attention to detail.
  • Tact, diplomacy, and the ability to maintain confidentiality.
  • Ability to work independently and with others.
  • Excellent written and verbal communication skills.
  • Keyboarding skills: Intermediate MS WORD and MS EXCEL skills.
  • Must be open to the possibility of more hours per week in the future.

QUALIFICATIONS:


  • Minimum of a high school diploma.
  • Experience working in a unionized environment.
  • Experience with most of the reception duties described is preferred.
  • Experience with the scheduling / administrative duties described above of at least one to two years is required
  • A minimum G2 driver's license and a reliable vehicle.

$20.76 per hour

  • Scheduling: 1 year (required)
  • Administrative experience: 1 year (preferred)
