Position Summary

This position is a Hybrid in Dartmouth, Nova Scotia


Thales is looking for a
Maintenance Coordinator to provide work package support to the Ship Maintenance Leads and the broader Service Delivery team managing and coordinating assigned Technical Support Network (TSN)(sub-contractors) during each Work Period.


The Maintenance Coordinator ensures that:

TSN's complete all agreed maintenance activities to the required quality in a safe and environmentally friendly manner; TSN's deliver complete Objective Quality Evidence (OQE) for all completed tasks; management of all special tools and test equipment loaned to TSN's; and management of all material expended or returned by the TSN's.

Reporting to their respective NEM Liaison & Service Delivery Team Lead, the Maintenance Coordinator assists Ship Maintenance Leads in generation and management of reports along with management of additional documentation required to facilitate and close out each work period _.

Key Areas of Responsibility

  • The _
    _Maintenance Coordinator __is responsible for: _
  • Provision of general project support and administration activities to the Waterfront Service Delivery Team;
  • Reviewing and ensuring that maintenance instructions are complete and sufficient for service providers to complete assigned maintenance operations;
  • Overseeing maintenance activities being conducted by service providers ensuring that the work is being conducted to the required quality in a safe and environmentally friendly manner;
  • Compiling Work Item closure reports, ensuring completeness and accuracy, and entering into the designated project tool for Work Item closure;
  • Generating and managing documentation and reports in various formats (Word, Excel, PowerPoint) as and when required in support of the Service Delivery Team;
  • Ensuring subcontracted service providers have the necessary paperwork and materials to complete designated maintenance tasks;
  • Attending meetings and preparing meeting agendas and minutes;
  • Generating purchase requisitions for Suppliers and Subcontracted Services, maintaining purchase orders and ensuring the efficient financial closure of Subcontracts on behalf of the Service Delivery and Procurement teams;
  • Ensuring service provider records are complete and up to date;
  • Ensuring compliance with Health and Safety requirements;
  • Assisting the Service Delivery team with keeping accurate and timely records;
  • Other tasks as required.

Minimum Requirements
Skills and Abilities

  • Strong computer literacy, with proven experience with Microsoft products especially Word, Excel and PowerPoint essential.
  • Strong organizational skills and ability to balance multiple priorities.
  • Experience within procurement, project management or warehouse environments highly desirable.
  • Project experience interfacing between internal/external stakeholders.
Technical/Specialized Knowledge

  • Minimum two years of previous experience working within the Military or a Defense Contract or Project desirable.
  • Experience with the Defense Resource Management Information System (DRMIS), or comparable document management system is advantageous.
  • Experience working in SAP, or comparable Enterprise Resource Planning or Asset Management software is advantageous.
  • Previous experience in shiprefit and repair activities is advantageous.

Preferred Qualifications

  • Tertiary education in an Engineering, Technical, or Business/Project Management related field is desirable.

Physical Demands


Predominantly working onsite in the Naval Dockyard and onboard Naval Vessels, will also be required to work from the office or from home.

Will be required to undertake inspections, including confined space entry, on Naval ships involving bending and twisting. Tasks may also requiring working at heights.


Regulatory Compliance Requirements:


  • Required to access and work in DND facilities and therefore must comply with Federal facility health regulations.
  • Requires direct or indirect access to hardware, software, technology or technical data controlled under the Canadian Export Control List, the ITAR or the EAR.
  • Requires a positive Controlled Goods assessment as personnel will have direct access to hardware, software, technology or technical data controlled under the Canadian Controlled Goods Program.
  • Required to obtain and maintain a Security Clearance at the NATO Secret Level.
