Description
The main purpose of this role is to provide administrative support to the Graphics Department.


Specific Responsibilities:


  • Answer telephones and direct calls
  • Meet and greet clients and visitors
  • Enters and processes all orders into Filemaker, our order tracking database
  • Evaluate order data for accuracy, obtain corrected/missing information from customer service/sales representatives or production staff
  • Provide tracking information pertaining to the orders
  • Distribute completed paperwork to customer service branches
  • Initiate transfers of print and steel dies with mounting and plant die personnel
  • Perform general clerical duties to include but not limited to: photo copying, mailing and filing
  • Responsible for communicating with the Die Mounting Department in regards to the Die Mounting Schedule, customer print dies, proofs and more.
  • Responsible for all incoming and outgoing UPS/FED EX packages
  • Order steel dies, liaising with suppliers, sales, design, and plant die department personnel to obtain necessary information
  • Order office supplies
  • Enter purchase orders
  • Works safely, reporting hazards and unsafe conditions, takes all reasonable measures to protect themselves and their coworkers.
  • Works in compliance with the responsibilities as outlined in the Ontario Occupational Health & Safety Act and the Industrial Regulations and with the Company's safe practices and procedures
  • Other duties or special projects as assigned

Education/Knowledge:


  • Post-Secondary education, knowledge of Microsoft Office and Excel
  • Knowledge of Macintosh platform an asset.
  • Professional verbal and written communication skills.

Experience/Skill:


  • Possess the ability to track, process and update orders
  • Strong organizational skills, excellent communication and interpersonal skills
  • Ability to multitask, excellent customer service skills
  • Project a professional company image.
