CLERK - DATABASE
70 Bi-weekly Hours | Days Shift

SEIU Clerical Hourly Pay Rate:
$ $26.2700

The Baycrest Foundation provides crucial funding to the Baycrest Centre for Geriatric Care. The Operations department of the Foundation is responsible for processing over $25 million in fundraising revenues annually.

The department is also responsible for the integrity of the donor database and maintenance of donor endowment and special gift funds.


The employee is responsible for responding to donor queries regarding tax receipts, collecting updated credit card information for recurring gifts, and donor statements.

For many donors the Database Clerk is the face of Baycrest, this position plays a vital role in managing good donor relations.


Responsibilities include but are not limited to:

  • Enters donations in Raisers Edge.
  • Answers donor inquiries; ensure that an action or note of the conversation and the outcome is entered on the donor's record for future reference.
  • Resolves issues around statements and receipts identified by donors.
  • Checks tribute card listing generated by the card office and tax receipts for accuracy.
  • Mails the daily, quarterly and annual tax receipt runs. If necessary, distribute any tax receipts to the appropriate donor development staff for personal signing.
  • Sorts and delivers mail to Foundation staff and opens finance mail.
  • Records totals of cheques and credit cards on a daily deposit sheet
  • Enters stock donations and communicates with brokers as needed to collect information
  • Writes off unpaid pledges as directed.
  • Generates monthly statements, and gift reports as requested and distributes to applicable Foundation staff for verification.
  • Mails statements to donors.
  • Enters all thirdparty donations such as Canada Helps, Benevity etc. and any other direct deposit donations information into Raiser's Edge.
  • Works with other Foundation staff to investigate and fix donor records.
  • Generates duplicate tax receipts as needed.
  • Generates online credit card receipts when requested by donor.
  • Enters all Gift-InKind items into Raiser's Edge and file all source documents.
  • Files operation department documents.
  • Orders supplies (ie. Tax receipt/Letterhead) as necessary.
  • Maintains the operations storage room and retention cage.
  • Provides backup support to the Cashier as necessary.
  • Provides backup support to the Donations Office as necessary.
  • Open finance mail and record totals of cheques and credit cards on a daily deposit sheet.

Qualifications include but are not limited to:

  • Completion of Post-Secondary Education course in database management is an asset
  • A minimum of three (3) years of experience in a clerical support position.
  • Good computer and keyboarding skills, with two (2) years of prior experience in database management. Advanced computer skills in Microsoft Office software (including Excel, Word, Outlook, PowerPoint, and Access)
