    Position Overview
  • An opportunity exists in the Administrative Services Department for a regular fulltime Administration Clerk. This is specialized clerical work supporting the Municipal Clerk in organizing and monitoring assigned program areas. An incumbent of this class prepares, processes, and maintains a variety of files and records related to the work; coordinates virtual meeting arrangements for council, various committees, boards, and commissions; and liaises with internal staff and a variety of external clients and agencies in the conduct of the work. The incumbent exercises considerable independence of judgement and action on routine assignments but difficult or unusual problems are referred to a superior. Work performance is evaluated by a superior for accuracy and conformance with established practices, procedures and legislation.

You have:


  • Thorough knowledge of business English, spelling, punctuation and arithmetic.
  • Considerable knowledge of the departmental procedures_,_ bylaws, rules and regulations related to the work, including the relevant pieces of legislation such as the Local Government Act, Community Charter, and the Local Government Bylaw Notice Enforcement Act.
  • Considerable knowledge of modern office practices and procedures and of the rules, policies, and regulations applicable to the work.
  • Considerable knowledge of processes and procedures related to meeting facilitation and support including the use of virtual meeting software such as Zoom (Zoom Webinar), WebEx, and Teams.
  • Sound knowledge of methods in local government decision making and bylaws including their purpose, role, legislative process, amendments, approvals and referrals, consolidation and enforcement methods.
  • Sound knowledge in records management classification schemes for electronic and paper files in electronic document management systems.
  • Ability to prepare, process and check a variety of reports, documents and correspondence related to the work.
  • Ability to deal tactfully and effectively with the public and staff in supplying information of a sensitive and confidential nature and in explaining and interpreting bylaws and regulations as related to the work performed.
  • Ability to coordinate work assignments under the direction of a superior and in collaboration with other staff.
  • Ability to perform detailed legislative and quasijudicial work accurately.

Qualifications:


  • Grade 12, supplemented by courses related to the work, plus considerable experience with the municipal procedures involved in the work; or an equivalent combination of training and experience.

Salary:
The pay range for this unionized position is $ $37.58 per hour based on a 35-hour work week.

Hours of Work: Hours of work will vary between 8:00 am - 11:00 pm contingent on meeting scheduling.
