Position Summary
Unit Secretary, Acute Care Unit:
Your goal in this position is to perform administrative, secretarial and receptionist support for the Acute Care Unit in a confidential, sensitive and professional manner.
You have effective written and spoken communication skills, use your critical thinking and problem solving skills, and embrace the challenge of prioritizing work demands in a fast paced and stressful environment.
The position supports the hospital's academic mandate by advancing care through teaching and learning and/or transforming care through research and innovation.
This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.
On a practical level, you willSupport and adhere to Hospital policies and procedures
Use customer service principles when interacting/communicating with patients, families, staff internal and external parties
Coordinate various interdepartmental activities and requests such as transportation of patients for tests, scheduling of appointments for various clinics, reminder appointment phone-calls, discharges and other services required on the unit
Represent physicians and health care professionals (i.e., nurses, allied health) by screening and triaging incoming telephone calls and inquiries; recording and transmitting messages; scheduling, receiving, and announcing scheduled patients and visitors; arranging referrals to other health care providers; scheduling appointments for consultations, x-rays, lab tests, physical therapy, MRI's, CT scans, etc.
Compile and disseminate material/documents related to Program activity
Maintain attendance/time reporting information and arranges appropriate relief including agencies. Inputs payroll, and keeps record of nursing resource pool and overtime statistics
Process computer provider order entries within scope of practice notifies appropriate staff, and specific departments as required
Support clinicians with system order entry functions, such as scheduling patient appointments and follow-up appointments
Process requisitions as required (blood work, CT, etc.), maintains documentation and follows up on outstanding information (e.g., test results, follow up appointments)
Maintain organization of admissions, discharges, outstanding orders and medication information, dismantles charts and enters information electronically as required
Prepare reports and discharge instructions, photocopying, prioritizing and processing of information as required
Maintain office supplies inventory by checking stock; anticipating needs; placing and expediting orders; verifying receipt
Utilize patient and family centred communication and strategies with patients, families, staff, physicians, and volunteers
Qualifications:
Grade XII diploma
Medical Office Assistant certificate from a College of Applied Arts and Technology
Experience inputting payroll, timesheets and staff schedules
Demonstrated commitment to patient/client centred care
Accurate minimum typing speed of 45 w.p.m
Proficiency in Microsoft Office including; Word, Excel and PowerPoint
