Position Summary:


Under the direction of the Senior Finance Officer, the Manager of Donations Management will supervise the Donation Services team that is responsible for the intake and processing of donations to McGill University, accurate and timely data entry, and providing seamless and exceptional donor experience according to departmental, University, Canadian Revenue Agency (CRA), and U.S.A.

Internal Revenue Services (IRS) procedures, policies and regulations; as well as keep abreast of best practices defined by the Council for Advancement and Support of Education (CASE).

The incumbent will actively participate in the development and implementation of new processes and recommend continuous improvements. They will also act as a primary point of contact on donation and pledge related inquiries.


Primary Responsibilities:

  • Manage the UA
  • Donation Services team's full employee life cycle, ensuring onboarding, training and development, performance management and engagement while upholding the highest standards of donor experience and ensuring CRA and IRS guidelines are being adhered to.
  • Anticipate, ensure and plan for optimization of team's resources to meet tight deadlines, peak volume periods and growing donor base.
  • Participate in the development and implementation of processes, policies and new initiatives that support the strategic direction of the unit such as review and optimization of current processes, setting customer support standards and ensure communication to all stakeholders.
  • Investigate discrepancies or anomalies pertaining to donations, implement remediation when necessary (adjusting journal entries in accounting system and corrections/adjustments in the CRM) and communicate with relevant stakeholders.
  • Prepare, verify, and upload weekly donation files for transfer to the accounting system.
  • Conduct routine and nonroutine analyses and audits of donation entries to ensure data accuracy and reporting compliance.
  • Prepare, maintain and update coding in the CRM to ensure accurate reporting of donations and pledges.
  • Undertake the review and analysis of monthly, quarterly and annual reports related to gifts and pledges.
  • Develop internal procedures and documentation regarding the processing of donations, keeping the Senior Finance Officer informed on issues and seeking advice as needed.
  • Closely collaborate with technical staff on improvements to and maintenance of technical data integrations for donations tracking, accounting, and communications.
  • Ensures departmental policies and procedures, as well as Canada Revenue, IRS and CASE guidelines, are adhered to.
  • Update and maintain the Donation Services intranet website.
  • Act as key resource person for internal and external constituents on donation and pledge related inquiries.

Other Qualifying Skills and/or Abilities:

  • Minimum of 5 years' relevant experience providing financial expertise, including financial management and management reporting are preferred.
  • BBA or BCom with a major in Accounting preferred.
  • Demonstrate strong management and leadership skills to cultivate and strengthen relationships, with a proven track record of optimizing team performance and achieving group goals.
  • Selfmotivated and driven with the ability to work under pressure and effectively prioritize responsibilities. Recognized for a high level of accountability and ownership.
  • Experience in financial operations in a nonprofit and/or advancement context is a strong asset.
  • Possess upto date knowledge on best practices in the field of finance and accounting.
  • Maintain a consistent focus on topquality service delivery.
  • Demonstrate a high level of ease working at tactical and operational levels.
  • Demonstrate a high level of agility with the ability to anticipate potential risks and outcomes and adjust for problems and roadblocks.
  • Able to effectively orchestrate multiple resources and activities to accomplish a goal.
  • Proven collaborator with significant professionalism and integrity, along with the ability to work with a wide range of internal and external stakeholders. Able to effectively influence and negotiate to reach shared solutions.
  • Knowledge of French and English. McGill University is an Englishlanguage university where day to day duties may require English communication both verbally and in writing.
