Job Scope

For international admissions, this role is responsible for providing admission advice and support to all inquiries designated to them, from point of inquiry through to enrollment.

The incumbent is to support partner network development, produce data and analytics reporting, and manage agent onboarding, student communications, and commission claims.

The incumbent will assist with incoming students to prepare them for arriving and commencement at VFS.

Additionally, the International Admissions Coordinator is responsible to build and foster new relationships with both local and offshore agents in designated region(s), along with hosting and touring visiting partners and supporting local event planning.

The incumbent will be a self-starter, experienced in sales and marketing. They must be highly organized, energetic, an excellent communicator and driven by results. They must be detail-oriented and will be responsible for tracking and reporting their results.

Core Responsibilities

  • Support all global admission Advisors and Specialists in processing new INTL student enrolments from point of inquiry through to the student commencing their studies at VFS.
  • Cultivate new relationships and support the growth of partnership networks in designated region(s) both locally and offshore as assigned by the Director, International Admissions.
  • Maintain accurate notes of all communications and conversations in the appropriate VFS CRM and Lemur systems. Aid the China office in note updates in CRM and Lemur due to VPN restrictions.
  • When required, schedule student bookings with qualified prospects with regional International Admissions Advisors/Specialists and Senior Admissions Advisors.
  • Continue to followup on all leads until they are given a disposition, and update records regularly in the CRM.
  • Host guests, provide campus tours and help manage international events and open house events, as required.
  • Communicate effectively and efficiently with all third party representatives and perform followups within 24 hours.
  • Keep accurate tracking of students referred by agents/ESL schools within the database, CRM and student tracker to ensure invoice will be received at proper time and commission payment will be made on schedule.
  • Assist specialists with issuing agent contracts. Record and file contract documents and correspondence related to the contract and maintain and update contracts in CRM.
  • Provide prospects with background information about VFS to ensure they are well prepared to have a productive conversation with their Advisor/Specialist.
  • Actively support and assist local agent & ESL school relationships and provide trainings to ensure most updated information is delivered to agent & ESL school channels to increase inquiries for VFS and programs.
  • Follow department procedure for approval and take responsibilities to communicate with supervisor on any conflicts and potential issues when occurs.
  • When requested, enlist the assistance of Student Services to provide postenrollment information, which may include housing options, life in Canada/Vancouver, transportation, insurance, taxes, preparing for classes, etc.
  • Develop a relationship of trust with students, utilizing superior customer service skills, including regular interactions to seek out potential problems and provide solutions together with the student, their parents and/or other financiallyinvolved parties.
  • Process withdrawal requests, approved by the Head of Student & Regulatory Affairs, and determine/process refund amounts.
  • Ensure office area is kept neat and professional for student meetings.
  • Other duties as assigned by the Director, International Admissions and Business Development and/or the Managing Director.

Job Qualifications

  • Degree/Diploma in Business Administration with a minimum of two years professional experience in a marketing or sales department.
  • Fluency in verbal and written English. A second language in Korean, Japanese, and Mandarin is an asset.
  • Solid understanding and experience in database usage, Excel, CRMs.
  • Goaloriented with a passion to succeed.
