    Position Overview:
The Facilities Administrator is responsible for the day to day management of the Primacy Clinics in their territory.

As the main point of contact for doctors, clinic management and local Loblaws store management, the Facilities Administrator ensures that the clinic, pharmacy, and store's needs are met.

The Facilities Administrator will act professionally at all times to all parties to maintain and increase operational effectiveness and profitable success of each clinic as per their Sublicense Agreement.


We are looking for a real self-starter, communication whiz, who is ready to take on this exciting entry-level role to cover an 18 month maternity leave.


Responsibilities:


  • Provide day to day support for clinics, including maintenance issues, marketing requests, changes to clinic metrics such as hours; doctors on staff; services offered; and updates to involvement in loyalty programs
  • Accept and use a company provided cell phone for afterhours clinic inquiries and emergencies 24/7/365 unless taking approved vacation time
  • Act as the main point of contact for the clinic, pharmacy and store management, and onsite contractors
  • Draft communication as required including policies, events, changes, clinic news
  • Contribute content (bilingual content as required) for quarterly Primacy newsletter
  • Advocate to management on behalf of the clinics by making recommendations for upgrades, expansions or marketing
  • Prioritize maintenance, renovations and new build construction including contracting 3rd parties, communicating scope of work to the medical clinic, assessing results and forwarding invoices to management in a timely manner
  • Travel at least once per year to meet with key clinic contacts in specified region to evaluate operations, review the condition of the facilities and assess recruiting needs. Airplane travel and Gclass Driver's License required
  • Work with National Service Manager as necessary to develop marketing strategies including signage or materials outside and inside Loblaws stores, as well as online marketing campaigns
  • Attend and actively participate in biweekly meetings with colleagues and management
  • Other onsite at Primacy office duties as required, including: assisting with development and management of Primacy managed websites; ordering office supplies; training newhires; crosstraining colleagues

Qualifications:


  • Minimum 1 year experience in a professional customer service role
  • Some experience in developing relationships and being a positive and professional representation of the company
  • Experience providing timely customer service, efficient followups, and correctly recording each interaction
  • The ability to work independently on tasks both remotely from home and inperson, when needed
  • A selfstarter attitude and a natural drive and sense of initiative

Additional Requirements:


  • A clear sense of urgency to achieve results. A "cando", "let's make it happen" attitude and a focus on a positive customer experience
  • Excellent written and oral communication skills, with experience communicating effectively and collaboratively with internal and external stakeholders at all levels within the organization
  • Excellent organizational, time management, and multitasking abilities
  • Must possess a level "G" Ontario drivers license and be comfortable with travel to and from local clinics when needed
  • There is occasional travel across Canada to visit our other various clinic sites when needed (all travel costs will always be covered) this an exciting opportunity for someone who has never seen different parts of our beautiful country, Canada
