THE OPPORTUNITY

Prominence Way Retirement Way located in
Calgary, Ontario is actively seeking an energetic, enthusiastic and self-motivated individual to join our growing team


Reporting to the
Director of Care, the successful incumbent in the position of
Unit Clerk will be responsible for managing a range of clerical duties, and for the completion of the daily staffing needs and regular scheduling.

The Unit Clerk promotes positive experiences with residents, family members and guests. The Unit Clerk organizes work within the unit and interacts with other departments to ensure seamless patient care.


PRIMARY RESPONSIBILITIES

  • Ensures nursing schedules are completed by managing the availability process, adheres to master schedules, collaborates with managers on time off requests, schedules team members returning from leaves of absence, utilizes callin process to find replacements for sick/emergency callins etc. in accordance with the prescribed process
  • Verifying schedules and assigning shifts daily by managing calls from team members, recording reasons for no shows or decline of shifts, liaising with management on areas of concern
  • Managing Time and Attendance System to ensure accurate and timely payroll output, resultant records and accruals, including preparing timesheets for manager's approval
  • Maintaining the accuracy of vacation, sick and statutory holiday leaves, including ensuring the team members have sufficient hours for the requested leave
  • Prepares resident admission or discharge charts
  • Schedules resident care conferences
  • Clerical duties related to nursing related documents such as filing, copying, and followups as directed
  • Stock units with office and medical supplies as scheduled and prepare requisitions to maintain established inventories; assist with distribution as required
  • Maintain resident charts and add incoming information as available
  • Perform other nursing clerical related duties as assigned.

PHYSICAL REQUIREMENTS

  • May be exposed to infectious waste, diseases, conditions, etc.
  • Interacts with residents, family members, staff, visitors and government agencies.
  • Manual dexterity required to use desktop computer and peripherals.
  • Overtime as required.
  • Intermittent physical activity including walking, standing, sitting, lifting and supporting patients.

WHO YOU ARE

  • Current HCA registration.
  • Strong verbal/written English communication skills.
  • Experience in the healthcare industry and with AHS requirements.
  • Able to work efficiently as a part of a team as well as independently.
  • Ability to use standard office equipment efficiently.
  • Understanding of filing systems; meticulous records maintenance skills.
  • Attention to detail in all areas of work.
  • Good organizational, time management and prioritizing skills.
  • Excellent internal and external customer service skills.
  • Must be able to provide a police check with vulnerable sector screen upon hire.
  • Must be able to provide a record of immunization for TB test upon hire.
