Job Summary:

To coordinate projects within the division and to represent the unit on various committees and working groups.


Major Responsibilities:


  • Implements detailed plans and recommends policies/procedures regarding program specific requirements.
  • Conducts projectbased research into assigned area ensuring that such research takes into account developments within the field, corporate policies and practices, legislation and initiatives by other levels of government. Supports the division's strategic planning and priority setting processes.
  • Provides input into and administers assigned budget, ensuring that expenditures are controlled and maintained within approved budget limitations.
  • Assesses project feasibility and prepares project plans, reports, status updates for senior staff and related materials that contributes to divisional/City initiatives; regularly updates documentation processes on divisional initiatives.
  • Monitors projects to ensure completion in accordance with approved plans and agreements of undertaking.
  • Coordinates a wide range of stakeholder engagement and consultation processes and events that support various projects.
  • Assesses approaches and strategies of various project initiatives and develops specific implementation plans.
  • Provides input, guidance and technical expertise in the development, coordination and implementation of strategic divisional initiatives.
  • Oversees assigned projects ensuring effective teamwork and communication and high standards of work quality to advance divisional initiatives.
  • Oversees project team members and support staff.
  • Supports the division's strategic planning and priority setting processes.
  • Conducts research into assigned areas, including working with confidential/sensitive information related to policy, staffing, job roles and budgetary changes and producing related reports that take into account developments within the field, City policies and practices, legislation and initiatives by other levels of government.
  • Develops confidential material in relation to provincial changes in policy/funding where proposed changes impact service delivery.
  • Conducts process reviews on various projects and makes recommendations to senior management for improvement to existing divisional projects including process optimization and simplifications.
  • Provides presentations, including confidential presentations involving proposed changes to divisional staffing ratios or complement, as required for various levels of internal (Council Committees/Senior Management) and external management/stakeholders.

Key Qualifications:


  • Postsecondary education in a discipline pertinent to the job function or an equivalent combination of education and/or experience.
  • Extensive experience in project management leading enterprise change initiatives
  • Considerable experience in project delivery in a multisite organization
  • Experience managing multifaceted projects from inception through to completion, in a deadlineoriented environment, in an effort to effectively meet divisional goals and standards.
  • Experience in stakeholder management with a high level of ability to influence and negotiate outcomes effectively with a broad spectrum of diverse stakeholders.
  • Experience developing and facilitating presentations for a variety of audiences, including management.
  • Must have PMP certification in good standing
  • Combination of work and education in business administration or health services
  • Demonstrated human relations competencies, including networking, communications, facilitation, interpersonal skills and problem solving to thrive in a customer focus environment.
  • Excellent written and oral communication, presentation and interpersonal skills, and the ability to work cooperatively with others in an interdisciplinary team.
  • Excellent negotiating skills along with the ability to be adaptable and resourceful in a collaborative environment.
  • Knowledge of Ontario Statutes, including Occupational Health & Safety Act and Regulations, Collective Agreements and related Labour Legislation
  • Combination of work and education in business administration or health services
