Applications are invited for the position of Executive Assistant in the Research, Innovation & Strategic Enterprises Division, located at the Daniel J.

Patterson Campus. The salary range is $68,911 to $86,140 for a 35-hour work week. Additional hours may be required, as necessary.


Responsibilities include, but are not limited to:

  • Planning and organizing the daily operations and flow of information within the office of the Vice-President, and cascading information throughout the division
  • Preparing the departmental budget submission, monitoring and reconciling inyear expenses
  • Providing administrative coordination to committees where the VP is a Chair or coChair, including developing and circulating committee meeting agendas and materials, and maintaining filing systems for said committees
  • Drafting and preparing communications materials to be disseminated from the office of the VP; consulting and liaising with Corporate Communications and other senior management, as required
  • Acting as a representative of the VP and maintaining the discretion and tact of the office, in interactions with the public, partners, government officials, and colleagues
  • Developing and drafting a wide range of reports for diverse audiences, including: the Board of Governors, subsidiary boards, Executive Team, internal committees, and external audiences, including relevant Ontario Ministries, funders, donors, and industry and community partners
  • Managing, tracking, and monitoring progress on project plans for the office of the VP, and direct reports to the VP, to ensure coordinated and timely completion of initiatives
  • Reviewing and aligning initiatives championed by the office of the VP to the Strategic Plan, Annual Business Plan and operational goals, as well as regulatory frameworks including NC policies, Ministry Binding Policy, and Board Bylaws

Qualifications:


  • Minimum three (3) year diploma/degree in Office Administration, Business Administration, Communications, or related field of study
  • Minimum seven (7) years of progressive experience in administrative roles, or other experience such as project management
  • Proven ability to develop positive and collaborative working relationships at senior levels
  • Excellent written, communication, research, and reporting skills with high attention to detail
  • Demonstrated discretion in handling confidential information
  • Demonstrated ability to manage ambiguity, superior criticalthinking skills, strong interpersonal and leadership skills, and knowledge of complex planning, development, implementation and project management practices
  • Proficiency at managing everchanging priorities under extreme time pressures
  • Considerable experience preparing, managing, and maintaining budgets
