Description
Client Engagement
• Support core case requests by completing cases for core clients.
• Ensures clients are taken care of promptly and professionally.
• Prepare and pre-fill new account applications and maintenance paperwork.
• Build, update, and retain Client Relationship Management (CRM) systems.
• Ensure smooth onboarding and funds transfer process.
• Name documents according to each client's preferences and assist in adhering to compliance rules by saving paperwork to the appropriate client file, while maintaining segregation between multiple client entities
• Send paperwork to clients using the electronic signature system while adhering to the Custodian's compliance rules about electronic signatures.
• Send outbound paperwork to clients using courier, dependent upon request.
• Quality Check and submit & track signed paperwork to the custodian for processing.
• Ensuring client meetings and events are positive, personal, memorable, and referrable. Investment Management Support
• Review and update the fee audit process by ensuring the performance on the security, portfolio, and household level is calculated correctly and timely.
• Provides trading and ensures trades are placed within the model and according to advisor/client intentions.
• Assist and oversee margin accounts, cash flow and fees and provide advisor, management and client updates as needed.
• Setting up money movement systems for contributions and withdrawals.
Team Support Optimization
• Overview support of the general inbox
• Ensure the team is ready and prepped for upcoming client meetings.
• Other responsibilities as dictated by the needs of the business in areas of sales, client service, and administration.
• Provide support to Service Team, and Advisory Team as required.
Advisory
• Engage and prepare client onboarding requirements.
• Update CRM with client tasks and work through the client process.
• Support client initiatives, statements, and portfolios for various types of investment accounts (i.e. Registered, and Non-Registered Accounts, Corporate, and Trust Entities)
Compliance
• Follow compliance standards and protocols.
Experience and Education:
• Excellent Microsoft Office and Adobe skills (excel/word/pdf/PowerPoint)
• Completion of CSC (preferred)
• Ideally 2-3 years of experience in a financial services firm
• Strong leadership experience demonstrated.
• Experience with Securities, Financial Planning, Investments, and Insurance a plus.
• Experience working within various Custodian Platforms (Sunlife, NBIN, Fidelity, Schwab, TD, etc.)
