As the Patient Care Coordinator, you arrange patient surgeries and manage the administrative requirements. You serve as a liaison between patients and medical staff throughout the entire process.

JOB PURPOSE:


You will manage the pre-operative logistics for two surgeons whose clients are scheduled for surgery including liaising with clinicians and the surgical facility to facilitate an efficient patient experience.


You will provide advanced support to the Director of Operations in a fast-paced environment that requires a flawless work ethic and ability to multi-task a multitude of complex projects.


KEY RESPONSIBILITIES:


  • Identifies and resolves client concerns with urgency and good judgment to provide continuity of care including fulfilling any requests received from clients.
  • Maintains privileged and highly confidential information involving client care.
  • Conducts quarterly reviews pertaining to client processes, existing client files and internal protocols with employees that govern the highest ethical performance of the clinic.
  • Acts as a custodian of client standard forms and records maintaining an effective document management procedure.
  • Prepares reports, presentations and documents
  • Manages the Medical Director's dictations for consultation and surgeries ensuring they are sent to the family physicians in a timely manner.
  • Extensive calendar management ensuring appointments / project deadlines are up to date; ensuring the Director of Operations is on time and reminders are sent if required
  • Support the execution of small and large scale critical projects.
  • Acts as an effective change agent by monitoring existing processes within the Client Services department including recommendations of new protocols if required. Advocates for a working environment where continuous process improvement is a focus.
  • Actively participates in all required meetings by summarizing key learnings and identifying trends pertinent to patient care and outcomes.
  • Play a critical role in the Administration team

WHAT YOU BRING:


  • Minimum University graduate or equivalent
  • Minimum 3 years of medical administrative experience is preferred
  • Experience in working with robust CRMs and/or electronic medical records (EMRs)
  • High attention to detail and high level of accuracy
  • Strong organization skills and ability to handle multiple demands by prioritizing effectively and respecting deadlines
  • Demonstrate logical and ethical decision making abilities
  • Excellent aptitude for interpersonal relations combined with an ability to interact with all levels of management and peers in a professional and efficient manner
  • Strong analytical skills and intuitive grasp of data
  • Proficient in advanced MS Office software and customer service related technology platforms
