POSITION PURPOSE:

This position plays a crucial role in ensuring the safety, comfort, and functionality of all our YWCA properties.

Reporting to the Director of Operations, the Property Manager is responsible for planning, maintaining, and managing the operations and reliability of the four YWCA facilities.

This includes overseeing the buildings, properties and equipment.

This position is responsible for managing and coordinating our property team consisting of housekeepers, custodians, contractors, and, as required, seasonal snow and lawn maintenance staff.

The Property Manager will oversee the operation and maintenance of all building systems, including but not limited to HVAC, electrical, plumbing, and security through cost-effective solutions, sustainable practices, preventative maintenance, and compliance with all applicable health and safety regulations.


KEY ACCOUNTABILITIES:


Maintenance:


  • Plan and direct maintenance of all properties owned, rented, and operated by the YWCA which includes contracting for services such as landscaping or snow removal.
  • Administer, plan and prioritize work orders and provide efficient and effective communication with managers and vendors/contractors on required repairs and preventative maintenance; establish and implement work procedures for startup/shutdowns and preventative maintenance.
  • Drive quality improvement initiatives, including developing and implementing preventative maintenance programs to ensure the safety and functionality of all YWCA Peterborough Haliburton locations.
  • Maintain adequate and suitable records of all properties owned, rented or operated by the YWCA including equipment, furnishings and appliances and related maintenance costs.
  • Maintain related records, statistics and reports in accordance with policies and applicable legislation and standards.
  • Responsible for equipment maintenance including monitoring and regularly inspecting the building automation systems which include but are not limited to heating, generators, ventilation, air conditioning, security cameras and systems, as well as fire panel equipment and lighting systems.
  • Monitor the property, equipment, and all building systems to ensure that they are in good working order while minimizing waste and supporting the organization's approach to sustainability.
  • Obtain quotes for approved building repairs/maintenance in compliance with Finance Policies, arrange for repairs and supervise trades regarding plumbing, electrical, HVAC and other buildingrelated repairs and service calls.
  • Ensure followthrough with various contractors regarding snow removal, waste and recycling removal, pest control etc.
  • Direct daytoday maintenance requirements while communicating with site managers to identify maintenance needs, develop resolutions to complaints, and respond to risk reports/concerns in a timely manner.
  • Lead renovations occurring on YWCA properties, prepare and negotiates contracts and renewals in compliance with Finance Policies, manage changes and additions to contractual agreements with external stakeholders, and ensures timely completion of projects within budget.
  • Ensure regular inspections are carried out at all locations to ensure acceptable operational suitability and fulfillment of regulatory requirements (e.g. fire and alarm inspections).
  • Ensure appropriate safety and security measures are in place.
  • Determine and recommend to the Director of Operations future building needs such as replacement and maintenance of equipment, furnishings and appliances using appropriate written processes.
  • Identify any potential issues or areas of improvement related to the property portfolio.
  • Responsible for developing standard operating procedures for use by the housekeeping staff and custodians.
  • Manages and leads change to ensure minimum disruption to core activities.
  • With the Director of Operations, prepare and manage operating budget and financials; seek opportunities for cost reduction.
  • Guide property related contract tendering and negotiation; share findings with the Director of Operations and provide recommendations.
  • Lead inventory management control and purchase departmental supplies and equipment as needed to support operations.
  • Stay up to date with industry trends and best practices in property management.
  • Manage and provide guidance to staff and/or vendors and contractors in daytoday repair, maintenance and cleaning of all YWCAowned and rented properties.
  • Provide property and operational input to the Directors of Operations on major/minor capital projects and remodelimprovement projects.
