Upper Canada Fuel & Burner is a family-owned business with our head office located in Peterborough, ON and additional locations in Oshawa, Napanee & Kingston, ON. Upper Canada Fuel and Burner is committed to supplying quality home comfort, commercial products and service to our customers across our expanding geographical footprint.

We are seeking an experienced Team member for a full-time role at our Oshawa site. This role will consist of approximately 42 hours weekly.

Dispatch

  • Receive customer fuel order calls
  • Create and dispatch tickets
  • Assign tickets to drivers
  • Route deliveries in most economical manner possible
  • Process and accept all tickets
  • Work with customers to deal with all delivery concerns
  • Work with Fuel & Lubricant sales team to ensure customers' needs are met
  • Work with Drivers to ensure accurate and timely delivery of products
  • Assign and set up degree days/zones for all new degree day customers
  • Monitor degree day and zone customer deliveries and adjust as needed
  • Maintain delivery zones in the system and assign to new accounts
  • Maintain Degree Day spreadsheets and update Degree Days in WTBS
  • Review after hour calls each morning and respond to fuel related calls
  • Maintain driver oncall list and advise after hours call centre of changes as needed
  • Monitor driver workload and degree days and creating degree day pull lists, both authorized and unauthorized, to ensure no run outs occur and maximize driver workload
Lubricants

  • Coordinate any packaged product / lube deliveries on truck
  • Backup and daily support as needed for lube purchase entering
  • Backup and daily support as needed for lube inventory
  • Fully knowledgeable in lube sales to assist customers at front counter
  • Backup for lube sales
General Administration

  • Answer telephones in a timely manner and respond to general inquiries
  • Maintain an organized filing system
  • Closing of accounts as necessary
  • Maintain credit comments in WTBS, documenting all customer conversations
  • Set up new ship to addresses, tanks and new prices
  • Assist with any special projects to mass update customer accounts
  • Integral member of the Oshawa team as well as liaising with staff at other sites
Maintain required documentation on customer accounts; follow-up with customers as needed to ensure no interruption to service/delivery schedule

  • Complete and maintain spreadsheets, scheduled reports and regular system updates
  • Respond to customer inquiries regarding their account; providing details as required
  • Assist with Degree Day credit/hold review as needed
  • Other general administrative tasks as assigned.
  • From time to time workloads and tasks are reassessed and tasks may be added or removed at any time at the discretion of UCF&B management.

Minimum Requirements:

2 years relevant administrative experience
Strong MS Office skills
Proven experience working in a dynamic and flexible environment
Perform duties on time at a high standard
Excellent communication skills (verbal and written)

previous dispatching experience, certified or willing to train on forklift


Hours of work - This is a Full Time in office position.

7:30am to 4:00 Monday - Friday.

This position requires you to be on an inventory rotation for 3 weekend hours once every 3 weeks on a Sunday.

$18.00-$24.00 per hour
