ABOUT US:

The New Brighton Residents Association (NBRA) is a not-for-profit organization established to professionally manage and operate several of New Brighton's community features.

Operated by the NBRA, the New Brighton Clubhouse is a year round recreational facility, consisting of a 6500 square foot building.

Also on site are; 2 tennis courts, a beach volleyball court, basketball courts, a splash park, playground, and a hockey rink.

The Bell Tower amenity, pond fountains, and community entrances are among a few of the other community features maintained by the NBRA.

SCOPE OF RESPONSIBILITY:
The New Brighton Residents Association (NBRA)

is seeking a highly motivated individual to carry out the responsibilities of

_Resident Concierge_, who is responsible for the daily operations of the NBRA Customer Service Desk and the the first point of contact for all resident questions, concerns and needs for a maternity contract position from February 1, January 31, 2024. Future opportunities may be available upon contract completion.


AUTHORITY:
The Resident Concierge reports directly to the Customer Service Leader.


HOURS OF WORK:
Monday - Friday; 8:30am-3:30pm (hours may vary slightly to accommodate business needs)


SPECIFIC DUTIES:
Without limiting the generality of the foregoing, the Resident Concierge will work from the Customer Service Desk and is responsible for performing the following specific tasks:


_ Customer Service Desk Operations:
_


  • Provide an exceptional customer experience by portraying a professional and courteous manner at all times
  • Provide NBRA patrons with exceptional Customer Service in the following capacities: registering for programs, issuing new cards, taking fee payments, administering point of sales, answering facility rental questions, event registration and other requests as they arise
  • Effectively respond to customer inquiries, finding the answer when unknown
  • Direct all facility rental inquiries to the Customer Service Leader after gaining initial details of the inquiry
  • Facilitate the NBRA entrance gate by ensuring that all people entering the NBRA facility/park have membership cards or are checkedin manually and maintain accurate records of facility usage
  • Responsible for administering changes and updates to the New Brighton Tool Shed operating system
  • Conduct card checks throughout the NBRA Park daily at 1pm
  • Be an effective ambassador for the NBRA by actively promoting program and event participation
  • Actively participate in the NBRA Safety Program, including paperwork for the Woking Alone Policy
  • Answer the NBRA main phone line during the day shift and direct calls to the appropriate person
  • Assist residents to complete the appropriate forms in regards to park usage, equipment rentals, membership, etc.
  • Enforce all New Brighton Resident Association rules
  • Act as the liaison with lawyer offices regarding membership status of residents (resales). Retain and file records of the correspondence with lawyers
  • Maintain computerized membership records and financial records; including the receipt of contributions and membership fees and process them according to designated procedures
  • Maintain office services by controlling correspondence; designing filing systems; and creating office supply orders within budget guidelines
  • Prepare and facilitate the distribution of promotional materials, including bulk and other mailings
  • Assist the Customer Service Leader to coordinate annual resident fee invoicing and monthly statements using the database system
  • Read and respond to all communications provided in the "Customer Service communication book", reporting all important communications to the Customer Service Leader
  • Assist the Customer Service Leader in creating a daily task list for evening/weekend CSR shifts
  • Obtain and distributed the mail received by the NBRA on a regular basis
  • Any other duties as assigned by the Customer Service Leader or the General Manager

Bookkeeping/Finance Responsibilities:
_**- Prepare and record all 'accounts payable' transactions to be approved by General Manager

  • Prepare the TelPay run and cheques to distribute accordingly
  • Any other duties as assigned by the Customer Service Leader
