The Waterloo CBT Clinic is a private psychology clinic that offers services to children, adolescents, adults and couples.We work with clients experiencing a range of mental health difficulties including anxiety disorders, depression, OCD, trauma and life stress.
We are seeking a part time administrative assistant who can provide support with the day-to-day operations of our clinic. This is a temporary position covering a leave of absence.Responsibilities:
- Assist clients with scheduling/rescheduling/cancelling appointments using an electronic medical record program (Jane)
- Conduct brief phone intakes for potential new clients (training provided)
- Manage wait lists for services
- Process and track payments from clients
- Maintain accurate and concise documentation
- Attend weekly team meetings
- Keep files and supplies tidy and organized
- Ensure that supplies are stocked
- Handle incoming and outgoing mail and shipments
- General office maintenance
- Assist with other clerical/administrative duties as needed
- Interested and qualified applicants have the opportunity to assist with basic bookkeeping, website maintenance, and social media posts but this is not required.
Required Education, Skills and Qualifications:
- Graduate of an Office Administration program from an accredited college AND at least two years administrative experience in a clinical setting
- Excellent interpersonal and communication skills (both verbal and written)
- Ability to work well in a team environment and support team members
- Proficiency in use of computers and excellent skills in Microsoft Office Applications including Word, Excel and PowerPoint, as well as Zoom
- Superior organizational skills and attention to detail
- Respectful of patient confidentiality
- Working knowledge of health/mental health clinic
- Must be able to prioritize workload and work well independently
- Vulnerable Sector Police check required
- Eager to learn and be part of a great team
Additional Assets:
- Basic bookkeeping skills (knowledge of Quick Books)
- Coursework, training, or work experience in a mental health field
- Experience in website maintenance and social media
Hours:
- Approximately 20 hours per week. Within the business day, hours can be flexible.
- In person availability is preferred, but applicants interested in remote work will be considered.
Pay Range:
- $19 - $22 per hour, dependent on experience

$19.00-$22.00 per hour
