The Opportunity


You'll join our Enterprise Support Services (ESS) team, helping to support the important business enablement functions that keep our organization running strong.

As a driven administrative professional, you will work across teams to provide the knowledge, resources and tools that help EY deliver exceptional quality service to our clients, win in the marketplace and support EY's growth and profitability.

Our highly engaged team is looking to hire a Records Management Administrator.

As an integral part of the team, this individual will be responsible for maintaining files, both digital and paper and consistently be in the Firm's compliance with applicable privacy laws and records retention requirements.


Your key responsibilities

  • Action requests to locate and retrieve records from our database ensuring proper sign in and out procedures are followed
  • Ensuring proper documentation of all records to easy locate and follow destruction processes
  • Work with 3rd party offsite vendor to ensure proper storage and destruction of all physical files
  • Review all documents to ensure they are true records and label/barcoding following internal Records Management Policies
  • Manage and archive standardized electronic files
  • Effectively keep track of different databases to ensure accuracy

Skills and attributes for success

  • Organizational skills, dedication to teamwork, timemanagement, strong communication skills (both oral and written), ability to manage multiple tasks and changing priorities, and attention to detail
  • Higher degree of consistency and understanding the firm's retention policy
  • Familiarity with risk management and compliance and ability to understand policies and provide guidance on related matters
  • Ability to work in a busy, deadline driven environment focused on accuracy and confidentiality
  • Ability to solve problems and use sound judgment
  • Flexibility to adapt to a rapidly evolving regulatory landscape.

To qualify for the role, you must have

  • Professionally Bilingual in both English and French
  • 2+ years' experience and knowledge in records management and data mapping with experience in data entry and records of processing activities.
  • Experience ensuring compliance to internal processes and policies
  • Knowledge of project management, knowledge of the services provided by a multidisciplinary professional services firm
  • Familiarity with technology and architecture as it applies to data, e.g. databases, cloud storage, data flows, etc.

Ideally you will also have:


  • Knowledge of Federal and Provincial privacy laws and records retention legislation in Canada
  • Records and Information Management certificate is considered an asset
