Administrative Role

Responsibilities:


  • Greeting and directing customers and overseeing the reception area which includes answering phones and the front entrance door and ensuring all safety protocols are adhered to i.e. logbook, screening questionnaire, etc.
  • Manage the supplies inventory for front office staff
  • Maintain and open all incoming mail and distribute it accordingly throughout the office.

Accounts Payable

Responsibilities:


  • Review, sort, match and enter all invoices into the ERP system in a daily/timely manner
  • Open purchase orders, review and reconcile invoices with the appropriate P.O.
  • Process and/or pay employee expenses
  • Manage the company credit card purchases and perform monthly CC reconciliation
  • Generate weekly cash requirements, perform cheque runs and mail payments to the vendors/suppliers
  • Resolve vendor concerns and maintain vendor files and records
  • Assist in monthend tasks and yearly audits
  • Provide freight quotes for the sales team & ship packages for customer service as needed
  • Prepare daily bank deposit and go to the bank
  • Update the freight log daily and record freight invoices in the log
  • Yearly AP filing

Qualifications

  • Must be fluent in English in both reading and writing.
  • College diploma in accounting or equivalent experience.
  • Must have a broad working knowledge of the GAAP accounting principles, accounts payable policies and systems.
  • Previous experience in the accounting field or bookkeeping preferred.
  • Previous administrative experience and proficiency in data entry.
  • ERP systems knowledge and experience preferred.
  • Excel and Visual knowledge and experience preferred.
