We are currently recruiting for a self-motivated, solutions focused, and detail orientated individual to fill the position of Sales & Office Coordinator in Vancouver, British Columbia.

As a Sales & Office Coordinator you will be responsible for the smooth and efficient coordination of the Vancouver office and all its general systems and functions while also supporting the field sales and strategic account team in a variety of day-to-day activities.

The position will be relied upon to provide key administrative support to the VP Western Canada Sales and will be trusted to play a key role in communicating and demonstrating our companies core values to all that visit and work within our office space.

Key job functions include but are not limited to:

Senior Sales Management Support:

  • Provide key administrative support and coordination to VP Western Canada Sales
  • Other administrative duties as required including (but not limited to): scheduling meetings and managing calendars, completing travel arrangements and expense reports, organizing meetings and special events.
  • Meeting Coordination and Event Coordination including attendance at specified meetings in and outside of the Vancouver office.
  • Demonstrate a clear understanding of the Western business by continually striving to add value as an active participant and engaged with the Western Management team.

Office Administration:

  • Accounts Payable
  • Approve and code all invoices relating to office functions
  • Submit new vendor or reactivation set up
  • Payroll for Hourly Employees
  • Manage all office systems and functions:
  • Active participant in Health and Safety Committee
  • Liaise with offsite IT team to maintain server
  • Telephone, AV, Printing & Security Systems
  • General Office Records and Filing Systems
  • Manage Ongoing Maintenance/Maintain functionality of Vancouver office
  • Manage all interactions with landlord/ongoing landlord relations

Sales Coordination:

  • Work in coordination with other Sales Coordinators in the creation and maintenance of various Sales reports and Tools
  • Act as a resource for the Luxury Wine Team (Principle Fine Wine) with event coordination and forecasting
  • Support in the coordination of supply order fulfillment via Logic Group
  • PO generation and invoicing to ensure timely and accurate payment to key vendors and suppliers
  • Working with the Account Managers to set up tastings with third party vendors
  • Manage Microsoft Office Team sites by making sure all the relative information is available to the teams

Job Requirements:

  • Education
  • High school or post secondary
  • One to three years in a similar role supporting Sales and Marketing teams in a Administrative capacity
  • Strong verbal and written communication skills
  • Detail oriented with strong organizational skills
  • Problem solver and results oriented
  • Team Player effective building internal and customer relationships
  • Ability to multitask and work independently
  • Ability to meet and exceed deadlines
  • Comfortable working with Microsoft Office
  • Excel, PowerPoint, Outlook
  • Physically fit and able to lift cases of wine (up to 45lbs) to pack and/or receive shipments
