Position Summary:


Reporting to the Associate Director, Enrolment Services, the Student Awards & Financial Aid Coordinator is responsible for oversight of the daily operations of the Student Awards and Financial Aid Office.

As a member of the Enrolment Services team, this position works collaboratively with all units within Enrolment Services and other administrative units and faculties on campus in the coordination and administration of undergraduate awards policies and procedures, and government student loan programs.


Typical Duties:


  • Provides assistance and support to the university community with the interpretation and implementation of academic policies and procedures relating to student financial aid;
  • Ensures that the professional and support staff are effectively coached and mentored in the achievement of operational goals and that efficient and effective policies and processes are operationalized and maintained;
  • Hires, trains, supervises, manages performance, and sets priorities for Student Awards & Financial Aid staff;
  • Leads regular team meetings to discuss progress and issues related to the administration of undergraduate student awards and government student financial aid;
  • Meets with internal and external stakeholders to provide guidance, advice, and information on student financial aid opportunities;
  • Coordinates administration of University of Regina undergraduate awards and ensures spending aligns with available budgets according to fiscal policies;
  • Audits award payments and registration status for changes in student eligibility for funding;
  • Works collaboratively with the Enrolment Services leadership team to ensure the award structure supports the University of Regina strategic enrolment goals of recruitment and retention;
  • Produces statistical information and analyzes financial data for reporting and planning;
  • Creates and oversees delivery of student communication relating to award funding, disbursements, and eligibility;
  • Coordinates the administration of Emergency Bursary funding programs;
  • Coordinates and oversees delivery of provincial and federal government student loan programs at the U of R;
  • Oversees access to and appropriate use of approximately 10 government portals for the data exchange of loans, grants, disbursements, and reports;
  • Unit expert on Government Student Financial Aid policies and procedures;
  • Handles inquiries from stakeholders regarding student financial aid policies and procedures;
  • Makes recommendations to the Associate Director and the Director, Enrolment Services to improve service delivery or revise processes as needed;
  • Collaborates with University departments to create new or updated award Terms of References;
  • Assists the Associate Director, Enrolment Services with the review, development and implementation of award budgets and strategies related to student financial aid;
  • Monitors and updates student financial aid information on the U of R website;
  • Creates test plans and performs user testing using for Banner, Student Award Management System (SAMS), and data reports;
  • Recommends improvements, monitors system health, troubleshoots system issues, and works with vendor to meet business needs using the Student Award Management System (SAMS);
  • Plans and delivers student financial aid workshops or events on or off campus;
  • Creates and updates student financial aid related materials used to convey funding opportunities for University of Regina students;
  • Documents internal processes and procedures and provides training;
  • Coordinates the Council Committee on Undergraduate Awards;
  • Back up to the Admission Coordinator in their absence; and,
  • Implements the departmental filing system in accordance to the University of Regina Records and Information Management Policy.

Position Requirements:


  • Undergraduate Degree;
  • Minimum of 3 years related experience, preferably in a university environment. An equivalent combination of education, training and experience may be considered;
  • Experience in field of student government financial assistance or student awards administration would be a strong asset;
  • Ability to make decisions based on sound judgment;
  • Ability to resolve complex problems using analytical skills, reasoning, and research;
  • Demonstrated ability to set, direct, and achieve goals in alignment with an overall strategic mission;
  • Demonstrated ability to provide excellent customer service in a studentcentered environment;
  • Demonstrated experience communicating in a crossculturally sensitive manner; and,
  • Knowledge of Banner Student Module and related reports (or similar experience working with complex databases and reporting).
