Duties & Responsibilities

  • Managing calendars of Executive team members
  • Completing executive management personal expense reports and review employee expenses reports submitted to Executive management for approval
  • Providing support in preparation for the Executive meetings including interfacing with subordinates of the Executive for the preparation or compilation of the agenda and meeting materials
  • Conducting research and compiling information for status reports re departmental projects or company task forces, where information must be gathered and compiled from a variety of sources.
  • Prepares correspondence and written communications
  • Oversee the Office Services function to ensure appropriate administrative support is provide to the Executive team
  • Effectively retain a confidential Corporate Documentation Library
  • Effectively coordinate various communication efforts across the organization for example; assisting Executive/Senior Management with drafting and editing communications, ensuring all communications are consistent, acting as a gatekeep for the formatting, vetting, approval and rollout of all policies, assist in the development of presentation materials

Experience, Skills & Competencies

  • Minimum 510 years experience
  • Minimum of 23 years' managing a team
  • Education / certification or equivalent experience Business or Office Administration or equivalent experience
  • Advanced working knowledge / high level of proficiency of Microsoft Office programs (Excel, Word, PowerPoint, Outlook)
  • Excellent written business communication skills
  • High degree of verbal; talking to others to convey information effectively by phone or in person
  • Exercises excellent interpersonal skills and demonstrates the ability to work with employees at all levels within and outside the organization in a highly professional manner at all times
  • Customer Focused
  • Highly organized excellent administrative management skills; planning and followthrough
  • Practical able to take concept, work with it to develop appropriate reports / communications
  • Ability to prioritize, organize workflow to meet deadlines and handle multiple tasks simultaneously, with the flexibility and adaptability to change directions based on changing priorities / requirements
  • Diligent with meticulous attention to detail
  • Commitment to continuous improvement
