Programs Administration Coordinator

COMPENSATION:
($22/hour - 35 hours per week)


RESPONSIBILITIES:

ADMINISTRATION (50% of the time)

  • Ensure all administrative duties are effectively completed (i.e.
participant information is up to date and safely stored, including:
participant attendance, staff time sheets, incident/accident reports, weekly challenges, etc.)

  • Ensure that the programming calendar is kept up to date and distributed among staff in a timely manner
  • Assist with the creation and collection of data from online feedback surveys and help assess registration trends, customer satisfaction and participant demographics
  • Manage, collect, and update supplemental participant forms (medical, travel, waivers, etc.)
  • Assist with booking for travel and trip logistics
  • Assist with basic bookkeeping and collection of receipts for account reconciliation
  • Assist with the distribution and collection of seasonal staffing administrative documents (general information, medical, forms, etc.)
  • Reviewing material resources, protocols, and procedures to ensure accuracy and that we are meeting all health and safety measure
  • Support of program swag/paraphernalia design, ordering and distribution
  • Supporting other Jays Care program administrative tasks as required
COMMUNICATION (20% of time)

  • Create a warm, safe, fun and welcoming presence in all encounters with staff, youth participants and caring adults
  • Connect with all registered families on an ongoing basis to develop rapport, address any issues and assist frontline staff with adjusting programming to best suit ages/needs/interests of participants
  • Inform program families of important dates and document all essential communication regarding parental and/or participant concerns
  • Assist with creation and distribution of virtual and printed marketing materials
  • Assist with design and publicizing of social media content (via Instagram, Twitter, TikTok, etc.)
  • Attending occasional information sessions, recruitment events & open houses
STAFF TRAINING, DEVELOPMENT, COACHING AND TEAM-BUILDING (10% of time)

  • Participate in virtual and inperson training to best prepare for the role
  • Model bestpractices with youth participants, families, and coworkers to help them envision what success looks like
  • Develop clear plans for effectively training staff in all communication procedures
  • Facilitate staff participation in all required training opportunities
MANAGE CHALLENGING SITUATIONS (20% of time)

  • Address any concerns immediately using summer program behaviour management protocols (i.e. creating behavioural contracts, communicating with parents, creating and implementing behavioural management tools, etc.)
  • Create documents for action plans for internal conflicts among staff, parents, community organizations, and/or youth participants
  • Offer supportive and constructive feedback to help staff build on existing practices
  • Responding to challenging situations that are brought to your attention using risk management lens and bringing it to attention of upper management
  • Ensure that all safety concerns that arise during programming are properly managed in a timely fashion (i.e. responded to effectively, communicated to parents, reported to supervisors and external professionals using appropriate reporting procedures)

EXPERIENCE AND SKILLS

EDUCATION/TRAINING/CERTIFICATION:

  • Completion or progress towards a University Degree and/or College Diploma in disciplines surrounding Arts, Marketing, Commerce, Media, Communication, Recreation, and/or Community Programming & Development
  • Minimum of one year office experience with emphasis on customer service via telephone/inperson
