Position Details
Under the supervision of the Manager of Finance and Administration, this position is responsible for performing a variety of functions in the areas of Finance and Administration, including financial reconciliations and reporting.
The Officer will work in collaboration with other members of the Finance and Administration team, as well as employees across departments and specifically in the Department's other operational areas of Information Technology and Facilities Maintenance, to provide timely and accurate information and support.
The Officer will also be:
- Monitoring balances in APSEA's accounting system to ensure entries are being posted correctly.
- Preparing and posting routine journal entries as well as posting journal entries in unique situations.
- Preparing monthly bank reconciliations for approval by the Manager.
- Preparing cost allocation of expenses based on budget, such as invoices shared by multiple departments.
- Preparing and post payroll journal entries to accounting system on a biweekly basis; including proper allocation of all staff expense claims.
- Preparing and posting entries for APSEA's trust fund accounts. Assisting with preparation of reports to monitor budget versus actual expenditures of the trust fund accounts.
- Preparing quarterly HST return filings for submission and monitoring for discrepancies with this account.
- Collaborating with other staff within the finance department (Accounts Payable/Receivable, Purchasing, Payroll) as needed to help resolve minor and/or transactional issues.
- Acting as a secondary confirmation for banking information related to payroll and accounts payables.
- Assisting with processing payroll when the Payroll & Benefits Specialist is absent.
Requirements and Qualifications You Bring:
- Completion of a postsecondary diploma in a related field (preferably in business, finance or accounting). A recognized equivalency may be accepted.
- Minimum of three (3) years of relevant experience in business, finance, and/or accounting.
- Experience working in a complex unionized and nonunionized working environment.
- Excellent technical skills, highly proficient in the use of Excel, Outlook and other Microsoft 365 platforms.
- Experience using a variety of platforms including SAP, HRIS, payroll and database systems.
- Participates as an active member of the team, providing input and perspective on sensitive matters.
- Superior attention to detail and accuracy in performing work. Sound judgement in fulfilling the responsibilities of the position, and the ability to maintain accurate records.
- Excellent interpersonal and communication skills required, to be able to explain complex financial matters to employees and to engage in conversation with key partners. Ability to provide exceptional customer service and above average communication skills.
- Ability to function effectively under pressure and while working under time constraints.
- Excellent analysis skills, showing an ability to problem solve through research and analysis in order to bring issues to a satisfactory resolution.
- Exhibits the highest level of confidentiality in handling sensitive, financial information and working in complex matters, exhibiting tact and professionalism.
- Ability to communicate in American Sign Language (ASL) would be an asset.
