Building a community of hope since 1987, we would like to invite you to join our journey. Siloam Mission is currently seeking a Full-time Permanent Donor Care Team Lead.POSITION DUTIES
- Guide prioritization of daily tasks to ensure deadlines are being met for work in the department;
- Review all work for accuracy to ensure compliance with CRA guidelines and Siloam Mission's policies and procedures;
- Connect with individuals/donors who have midlevel escalated concerns and educate them on Siloam's procedures;
- Assist Development department with special projects as needed;
- Manage and maintain Donor Care volunteer team; host volunteers, make them feel welcome, and schedule their tasks;
- Assist in the monitoring of the donor care recognition program at the community level as acquired through phone calls, sending of cards etc.;
- Update donor profiles with key information gleaned through donor care phone calls for future follow up;
- Assist the Manager of Donor Care in providing direction and oversight of the Donor Care Representatives. Providing input for performance evaluations and department recognition program;
- Work collaboratively with the team members and manager of Donor Care to empower staff and effect process improvements;
- Perform all other duties at the discretion of the Donor Care Manager, as assigned;
- Monitor the update and maintenance of the procedure manual for the department;
- Assist in providing coaching and training to each staff as identified/required;
- Understand all aspects of our various donation processing systems and gift receiving platforms;
- Assist in the preparation and analysis of respective reports from DonorPerfect;
- Lend assistance in the navigation of donor database to the Development team;
- Assist with external reports and data pulls for campaign pulls as needed;
- Open and batch donation mail;
- Record and process donations;
- Assist in the preparation of cheques/cash for bank deposit;
- Answer donor inquiries;
- Maintain donor files and records within the database;
- Assist in processing outgoing mails and drop off for Canada postdelivery;
- Monitor the department's inventory of stationary supplies, receipting resources, bulk slips etc.;
- Assist in training and leadership of donation processing staff and volunteers;
- Ensure Safekeeping of monetary donations prior to deposit;
- Clear donations from the safe at reception and Shipping and Receiving for batching and processing;
- Receive, activate, batch and process gift cards, maintain the gift card log and provide status reports;
ESSENTIAL
- A college diploma preferably in office administration / office management or a combination of education and experience;
- Experience in roles of coaching and leading staff/colleagues in the workplace;
- Demonstrated leadership and excellent communication (oral and written) skills to lead other colleagues;
- Exceptional customer service skills and telephone etiquette;
- Strong computer skills and the ability to maintain accurate documentation and timely reporting;
- Outstanding attention to detail and organizational skills while coping with repetitive tasks;
- Ability to work independently;
- Able to positively foster teamwork;
- Ability to work in a fast paced, high pressure professional environment;
- Skilled at prioritizing, multitasking and time management
- Demonstrated professionalism in the workplace;
- Experience working with volunteers in a nonprofit setting an asset;
- Familiarity with CRM databases (DonorPerfect) an asset
ADDITIONAL
Clear Vulnerable Sector Check and Clear Adult Abuse Registry Check will be required.
