About You
You are an experienced administrator who can provide administrative and operational support to a busy team. You are able to provide effective and efficient delivery of services in a professional, timely manner.


Your attention to detail, time management and high-level organizational skills allow you to effectively multi-task to get the job done right and on time.

You have excellent communication skills and are diplomatic, tactful, and sensitive to issues surrounding clients/donors. Your interpersonal skills make it easy for you to interact with people from a variety of backgrounds and experiences.

Being creative and innovative, you are willing and able to make suggestions to improve operations. You are flexible and work well independently and as part of a team. You have strong computer skills (MS Word, Excel, PowerPoint & complex database management).

About the Position


The Associate, Donor Services is responsible for providing administrative and operational support to the Donor Services department to ensure effective and efficient delivery of programs and services offered by the department.

The Associate assists the Coordinators, Managers, Directors and Vice President within the department as required, while assuming responsibility for ensuring the department's administrative functions are executed professionally.


Donor Services Support and Administration

  • Exercise initiative in gift administration activities with mínimal direction. These functions are goal and deadlineoriented, requiring the incumbent to manage the workload independently and within that constraint.
  • Responsible for assisting Donors Services in the cultivation and stewardship of donors and other external stakeholders. Works in partnership with other members of the team to ensure the success of gifts and planning objectives.
  • Review correspondence and draft materials to donors.
  • Use professional expertise and experience to interact with donors, grantees, and professional advisors as requested by the Directors or Managers.
  • Assist Donor Services department in ensuring that proper acknowledgments are extended to donors, executors, family members, etc.
  • Monitor donation receipts and ensure proper receipting of all types of gifts.
  • Assist with preparation of grants to qualified donees.

Data Entry and General Administration

  • Performs detailed data entry regularly and works with IT to develop reports.
  • Liaises with Finance to ensure appropriate processing and coding of gifts.
  • Manages filing systems and correspondence records.
  • Assists with general administrative duties and special projects.

Education and Experience

  • 23 years of relevant administrative experience.
  • Excellent written and oral communication skills.
  • Exceptional organizational skills with great attention to detail.
  • Demonstrated interpersonal skills to provide effective administrative support/customercentric attitude at all times.
  • Ability to manage a variety of tasks with mínimal supervision.
  • Desire to take initiative, learn new skills, and improve practices.
  • Adherence to and knowledge of PIPA (Personal Information Protection Act).

Preferred

  • Strong database experience in a notforprofit organization.
  • Salesforce experience.
