Your opportunity

Administrative Assistant in our

Richmond, British Columbia office. This is an

office-based position and

will require working from Dillon's Richmond office five days per week.

Responsibilities:


What your day will look like

Administrative Assistance

  • Manage the reception area, including the switchboard, client interaction, mail and courier arrangements, along with other reception related activities
  • Manage boardroom bookings and meeting arrangements, including preparation and cleanup for a variety of functions
  • Maintain common areas
  • Maintain and order office supplies
  • Assist with the flow and approval of accounts payable invoices throughout the office and liaise with the Finance department to ensure timely processing
  • Compile and review staff expense claims
  • Maintain the office filing system and archiving
  • Maintain office supplies
  • Format a variety of documents using Microsoft Word
  • Edit and proofread for spelling, grammar, and consistency
  • Complete document production, including photocopying, scanning, binding, and compiling PDF files
  • Overall quality checks and reviews of documents, ensuring adherence to the company's Quality Management System
  • Prepare, format, and edit Excel spreadsheets
  • Assist with other administrative duties as required or assigned and contribute as part of the administrative team to fulfill the variety of tasks necessary to run the office effectively

Qualifications:

What you will need to succeed

  • A certificate or diploma in an Office Administration related field of study is considered an asset
  • Proficient in the use of Microsoft Word and Excel
  • Professional verbal and written communication skills
  • Attention to detail, a high regard for accuracy, and the ability to provide high quality outputs
  • Strong interpersonal skills and a positive "cando" attitude
  • Time management skills and the ability to prioritize work effectively to meet deadlines and adapt to changing workload demands

Experience:


  • Experience with document formatting using Microsoft Word is considered an asset
  • Experience using PDF software to edit and compile documents is considered an asset
