PRIMARY FUNCTION:

Performs a variety of duties associated with the daily administrative operations of the animal shelter.

Responsibilities encompass greeting visitors to the centre, keeping the reception area clean and sanitized, coordinating appointments, processing adoptions / animal surrenders, facilitating animal transfers, liaising with animal service officers / veterinary professionals / other animal welfare partners, reuniting owners with lost pets, verbal and electronic communications, social media duties, community outreach, selling licenses, cash procedures, creating reports and other administrative and customer service tasks as required.


SUPERVISION RECEIVED:

Animal Shelter Supervisor or designate


MACHINES AND EQUIPMENT USED:

Telephone, computer, administrative equipment and supplies; janitorial equipment.


On occasion; vehicle, washing machines, catch-poles, cat net, cat/dog humane traps, feral den, medical equipment including but not limited to refractometer, woods lamp, microscope, microchip scanner, stethoscope, thermometer, weight scales, IV fluid equipment, specimen collection supplies and other equipment as may be necessary.


DIRECTION EXERCISED:

Permanent staff may provide direction and training to temporary/casual Animal Shelter workers


WORKING PROCEDURES:


Administrative

  • Responds to daily public inquiries with respect to adoption, redemption, surrendering, pet care, lost and found pets, volunteering, donations, licensing and all other animal shelter related matters;
  • Exposure to people who may be impatient, irate or unpredictable: dealing with complaints;
  • Sells pet licences, including receipt of cash/responsible for inputting data into DocuPet, iCity, Shelter Buddy and following the municipal bylaws. Contacts residences monthly for expired licenses as per DocuPet report;
  • Balances cash daily; collected from pound fees, adoptions, surrenders, licences, donations and other animal service fees.
Prepares deposit for Treasury department and records transactions in software:
DocuPet, iCity, Shelter Buddy etc;

  • Liaises with Animal Services/Control in regards to stray/sick/behavioural injured domestic and wildlife animals. Provides weekly lost pet reports to partnering municipalities. Uploads weekly reports from municipalities;
  • Aids in admitting animals brought in by patrol, other animal welfare partners and/or the public daily and as needed, logs all necessary information into computer software, lost / found reports, and medical reminder program;
  • As needed, creates a file for a newly arrived animal along with animal health booklet, animal health data sheets, daily observation sheet and animal welfare plan, Ensures animal care staff are made aware of any animal that is arriving ahead of time when possible;
  • Maintains records of all animals entering/leaving shelter and completes monthly reports outlined by OMFRA, municipal partners and shelter supervisor;
  • Contacts veterinary clinics /animal welfare partners to schedule appointments, register microchips, order food/medication, shelter supplies and discuss animal care plans;
