_This is a temporary full-time assignment for up to twelve (12) months._

Reporting to the Project Specialist, the Project Coordinator will provide administrative support and practical, on-the-ground assistance to a wide-range of centre-wide projects at the Temmy Latner Centre for Palliative Care.

This is a new position that will strive to ensure the success of new and ongoing initiatives aimed at improving how we provide clinical care to our patients.

This is a role that requires someone who is versatile and is willing to take on a variety of tasks.


Overall duties and responsibilities:


  • Provide administrative and project support to working groups and committees
  • Perform tasks as assigned that will move the project forward
  • Assist project leads with managing project timelines and deliverables
  • Document project activities and maintain them throughout the length of each project
  • Communicate plans, actions, risks and issues with key stakeholders
  • Collect, summarize and analyze data to produce progress reports for the project teams
  • Schedule and organize regular meetings with members of the project teams and collaborators, preparing meeting materials and taking minutes
  • Support the Project Specialist in maintaining a list of ongoing projects and the status of each project at the Centre
  • Communicate with internal and external key stakeholders, including care partners, patients and caregivers

Current projects and responsibilities:


_EMR Committee_ whose initiatives focus on supporting and training users of our electronic medical records (EMR) system, streamlining charting practices and improving data collection.

  • Assist with development of an EMR Training and Support Program, including creating training videos, tip sheets and other training materials
  • Create and revise new EMR templates and processes for documentation
  • Monitor the implementation of new data entry process using quality improvement methodology

_ Shared EMR Working Group_ is conducting a pilot project to provide nurses from two external nursing agencies access to our EMR to improve the sharing of information about our shared patients.

  • Participate in the development of the EMR templates as well as the documentation and communication processes to be used by the pilot users
  • Assist with onboarding the pilot users, including EMR account creation, training and support
  • Support the implementation of the pilot phase by updating project documentation
  • Assist with evaluating the success of the pilot and development of recommendations for next steps

_ Health Equity Committee whose_ initiatives are aimed to improve the access and quality of palliative care to all patients.

  • Support the implementation of a Patient Screening and Resource Matching Tool for Vulnerable Patients
  • Assist with developing a process to collect health equity data effectively and efficiently from our patients
  • Coordinate the translation of our patientfacing documents

_ Website Working Group_ is updating and re-vamping the Centre's website.

  • Participate in the development and creation of website content and design
  • Facilitate communication between the Hospital's Website Team and the Centre's working group
  • Work with the website writer to collect and compile feedback on draft content from key stakeholders
  • Upload new content to the website and maintain existing content.
Additional responsibilities and projects may be assigned.

  • Job Requirements
  • Bachelor's degree in a health sciences or other relevant area
  • Minimum of 3 years of project coordination experience
  • Experience working in health care is an asset
  • Strong organizational skills and ability to support several concurrent projects
  • Solid understanding of project management processes
  • Excellent communication (oral and written) and interpersonal skills
  • Ability to set up priorities, to be flexible in workflow and to meet deadlines
  • Strong data management skills
  • Capable of exercising sound judgement, discretion, and initiative in dealing with confidential information, and taking initiative to complete responsibilities with instruction
  • Ability to work independently and as a team player
  • Capacity to adapt to new technologies quickly
