***: We are currently seeking a Service Coordinator for the SE Health Rehab Services at Mackenzie Health Hospital, Richmond Hill to manage staffing schedule, payroll and other administrative duties as assigned. All activities are conducted within the policies, procedures and standards of confidentiality of SE Health and Mackenzie Health Hospital, also focused to provide proper and efficient patient care within the rehab services.


RESPONSIBILITIES:


  • Work collaboratively with the Operational Manager and Professional Practice Lead (PPL) to ensure continuity of care (staff coverage) and appropriate complement of skills and competencies of staff are across the programs.
  • Ensure continuity of services in the event of staff absences/vacancies; prepare a coverage plan, in collaboration with the Operational Management and PPL.
  • Assist in implementing communication strategies to ensure staff are informed of all organization, program and discipline specific issues or relevant information
  • Adjust/communicate/manage/maintain updated the scheduling and payroll system, including Procura as outlined in the master schedule
  • Assign unbooked shifts based on rostering system to ensure continuity of care in the provision of service deliver
  • Audit staff time hours vs internal payroll
  • Maintain and update contact staffing directory lists
  • Input basic profile of all new staff in scheduling system and payroll sheets
  • Maintain/update existing profiles in the schedule/ staffing calendar/Payroll sheets /Procura
  • Correct Procura data errors or missing data for staff, communicate information to SE accordingly
  • Process all same day or next day schedule changes and update lists
  • Inform front line staff of same day or next day changes to their schedules/new shifts
  • Provide followup on missed shifts and escalate patterns as appropriate
  • Closing of timesheets in Procura when staffing service ends
  • Provide excellent customer service with efficiency, courtesy and appropriate urgency
  • Communicate with Operational Manager and PPL regarding scheduling, payroll concerns/issues
  • Sort, organize, file and distribute various documents
  • Assist in ordering, organizing and maintaining office and therapy supplies
  • Prepare accurate documentation (memos, letters, forms, charts)
  • Support in obtaining/implementing score tools regarding rehab services and patient care at the hospital
  • Forward/escalate concerns to Operational Manager and/or PPL
  • Support in orienting new staff in accordance with MH-SE policies, process and procedures
  • Perform all other reasonable duties as assigned administrative duties as assigned

POSITION REQUIREMENTS:


  • Relevant postsecondary education including but not limited to PTA/OTA program
  • Related work experience and a familiarity with inpatient hospital care services is preferred
  • Familiarity with service coordination experience is preferred
  • Working hours are Monday
  • Friday days
  • Experience with management of multiple databases
  • Strong analytical analysis, critical and clinical thinking
  • Regular attendance is required
  • Excellent data entry skills and proficiency in MS Word, Excel and Outlook
  • Experience working with a scheduling
  • Experience with Procura is strongly preferred
  • Excellent customer service, interpersonal and communication skills, with a demonstrated ability to work with all levels of staff
  • Flexibility, ability to deal with tight deadlines and problem solving skills
  • A strong team player
  • Selfmotivated, ability to work independently, as part of a team and escalate issues appropriately
  • An ability to prioritize, multitask and deal with competing priorities
  • Good personal organizational skills
  • Courses in health care training or in medical administration are preferred
  • Basic computer skills in MS Office
