About the Role
Administrative Assistant
Part-time, 12 Months Contract
Fredericton, NB


The Administrative Assistant provides high level and often confidential administrative support and assistance to the Associate Vice-President, Technology Delivery and CIO.

Interacts professionally and helpfully with all members of the Senior Leadership Team, customers and employees.


How You'll Help

  • Preparing and/or polishing up presentations on behalf of the Associate Vice-President as required
  • Distributing mail, ordering office supplies and posting notices for the location
  • Receives visitors, answers telephone and supplies information for routine requests. Refers urgent matters to responsible personnel
  • Manages building requirements such as coordinating cleaning, coffee and supplies
  • Ensures a safe working environment by managing any issues with leadership and landlords as required
  • Maintains calendar of functions for the Associate Vice-President. Prepares agendas, makes arrangements for various meetings and events, and makes necessary travel arrangements and reservations
  • Coordinate, support and contribute to a variety of special projects assigned by the Associate Vice-President
  • Prepares invoices for processing
  • Track office assets including incoming and outgoing shipments/equipment
  • Maintains databases and spreadsheets and tracking of complex activities
  • Preparing expense claims as required by the Associate Vice-President.
  • Absence and vacation reporting and reconciliation
  • Organize departmental social events and activities
  • Maintain an organized filing system of paper and electronic documents
  • Analyzing reports, data, information, processes, etc. and contributing to improvements, as required.
  • Performing other related duties, as required

Education/Training

  • Postsecondary education, preferably in office or business administration; An equivalent combination of education and experience may also be considered.

Experience

  • Minimum of 35 years' experience in a senior administration role or equivalent.
  • Experience in the transportation industry is an asset.

Languages

  • English language skills required; Bilingualism
  • English and French is an asset

Skills & Attributes

  • Advanced communication skills, both verbal and written
  • Excellent computer skills accuracy, MS products (Excel, Powerpoint, Word, MS teams), web based programs
  • Experience in a project environment would be a strong asset
  • Strong analytical skills with ability to present clear information to the the PM to aid in decision making and improvement initiatives.
  • Superior interpersonal skills, with the ability to work with individuals of all levels in the organization, as well as customers and other external people of influence.
  • Exceptional organizational and time management skills understanding the needs of the Program Director and able to respond in a timely manner to meet requirements
  • High degree of professionalism, tact and diplomacy; ability to interact and work with people from all levels within the organization as well as externally
  • Results focused, with ability to work under pressure and to tight deadlines
  • Ability to champion business needs in a collaborative manner with other members of the SLT and colleagues throughout Day & Ross
  • Ability to maintain a high degree of confidentiality and use good judgement and discretion in order to provide the support required.
  • Ability to prepare detailed and accurate presentations both numerical and text driven.
  • Attention to detail

Work Schedule

  • Normally 20 hours per week, Monday to Friday; may be required to work different or additional hours from time to time
