Role Description:
Reporting to the Population Health Service Program Manager and working closely with the Population Health Service's multidisciplinary team of population health physicians, nurses, data analysts, health promoter, and community health workers, the Program Assistant will serve as the first line of contact with our partners agencies, provide exceptional administrative, organizational and communications support to the team.
Roles and Responsibilities:
Administrative Support
- Administer the creation, filing, and distribution of agendas, meeting minutes, reports, and presentations.
- Maintain SharePoint folders and version control.
- Provide administrative support to Population Health Team, including scheduling, correspondences, and editing and formatting of reports and presentations.
- Develop and maintain forms for services.
- Communicate in the utmost professional manner with partner sites, representing the services, values, and mission of ICHA and the ICHA Population Health Service.
- Coordinate courier pickup and dropoff.
- Optimize meeting structures.
Office Coordination
- Prepare vaccine coolers and place vaccines for delivery across shelter sites.
- Track vaccine fridge temperate and log temperature daily.
- Order and manage office supplies and inventory.
- Manage, prepare, and report cash incentives.
- Support with logistics planning as needed.
Qualifications:
- Minimum of 2 years of medical administrative experience working with physicians in communitybased health/primary care settings, or equivalent.
- Postsecondary education at a Bachelor's level or equivalent experience.
- Certification in a Medical Administrative Certificate Program or Certified Medical Assistant is an asset.
- Experience with marginalized populations with complex health and social service needs is highly desired.
- Experience in working with multiple partners in a complex organizational and community environment.
- Excellent computer skills (including Microsoft Office) and an ability to learn new systems.
- Knowledge and experience using electronic medical records (EMR), Oscar EMR is an asset.
- Solid organizational and time management skills; ability to support multiple clinic sites and processes concurrently, continuously identifying and addressing competing priorities in a timely and effective manner.
- Shows initiative, looks for changes or improvements in own work area and shows willingness to take on new responsibilities.
- Open minded, nonjudgmental with a commitment to upholding the rights and dignity of all people and respecting their diversity.
- Ability to work effectively with physicians and as a member of a broad interprofessional health team.
- Excellent attendance and punctuality record.

$40,000.00-$50,000.00 per year
