Opportunity:


MacEwan University is seeking an Initiatives and Events Coordinator (Event Planner II) for a full-time continuing opportunity within Academic Affairs.

Reporting to the Senior Manager, Provost Office, you will coordinate and support interdisciplinary and institution-wide events, initiatives, and programs within Academic Affairs, which includes establishing and supporting committee functions, liaising with internal and external partners, and coordinating timelines to ensure integration with other University events, initiatives, and programs.


Key responsibilities include:

  • Serving as the initial point of contact for the University community and the public and responding to inquiries and requests for information;
  • Developing, coordinating, and maintaining programs, initiatives, and events, including the promotion, communication, and integration with other programming or events at the institution;
  • Evaluating existing programs, initiatives, and events across Academic Affairs and identifying gaps and improvements;
  • Coordinating with faculties on inclass or departmentlevel opportunities;
  • Developing training materials for committee members;
  • Developing and revising information resources, awareness campaigns, and promotional materials and tools, including print, digital, and social media;
  • Preparing annual reports on programs, initiatives, and events, and establishing necessary committees for review and/or adjudication;
  • Supporting committee Chairs, including compiling, and preparing materials;
  • Establishing budgets for initiatives and monitoring actual expenditure activities;
  • Liaising with Expense Procurement and Contract Services to arrange contracts with external parties;
  • Reviewing invoices for goods and services and initiate requests for payment; and
  • Soliciting feedback from stakeholders.

You will have:

  • Strong decision making and problemsolving skills, with the ability to coordinate and facilitate largescale training and campaign development;
  • Strong group facilitation and active listening skills;
  • Strong interpersonal and leadership skills, with the ability to establish strong rapport and working relationships with a diverse group of stakeholders;
  • Excellent written and verbal communication skills;
  • The ability to work in a complex environment with excellent time management and organizational skills;
  • Advanced computer and word processing skills, including spreadsheets, creative design presentations, and database management.
  • The ability to prepare and present detailed reports and recommendations;
  • Social media skills;
  • The ability to research and synthesize information; and
  • The ability to receive feedback and remain adaptable.

QUALIFICATIONS:


  • A minimum of a postsecondary education in event management or a related field.
  • A minimum of 3 years of professional event and project planning and management experience in complex, dynamic and fastpaced environments.
  • Experience in comprehensive program development, implementation, and evaluation.
  • Experience in a postsecondary university environment is considered an asset.
  • An equivalent combination of education and experience may be considered.

POSITION REQUIREMENTS:

This on-campus position will require flexible and varied work hours, which may include evenings and weekends.
