Position Description:

As an integral member of the Program in Neurosciences & Mental Health, the
Program Administrative Coordinator will provide dedicated operational and administrative support to a team of world-renowned Scientists._ This position will require on-site work 5 days a week.

Here's What You'll Get to Do:

Supporting your team

  • Lead and coordinate all administrative tasks associated with the respective portfolio
  • Lead and coordinate administrative tasks associated with Scientists' national and international roles
  • Organize & coordinate meeting schedules using judgment to reschedule or book appointments according to changing priorities and proactively collecting agenda items, establishing agendas; assembling material for distribution and preparing minute templates
  • Provide assistance in hosting scientific events, meetings, conferences, and workshops as required; arranging travel, accommodations, itineraries, invitations, room bookings and setup, audio visual, catering, collaboration with other staff/departments/external contacts, preparation of materials for event and other duties as required
  • Working closely with the staff to manage lab and/or office supplies procurement including ordering and vendor/purchasing followups
  • Update content on Program/Division/Department websites/sharepoint
  • Liaise with SickKids departments on matters as necessary

Human Resources

  • Provide advanced level Human Resource support on all aspects of domestic and international recruitments, contract management, benefit and payroll information, and salary adjustments
  • Perform Timekeeping duties

Finance

  • Monitor and coordinate financial activities which include but are not limited to: account openings and closures, track expenses, investigate variances, reconciliations, journal entries, etc.
  • Prepare monthly financial summary reports and provide recommendations as required
  • Working independently with the grant accountant, participate in budget forecasting and management, yearend financial reporting to funding agencies

Grants

Here's What You'll Need:


  • Minimum three years of relevant (senior) administrative experience
  • Ability to work in a fastpaced, resultsoriented, dynamic environment; and work confidently under the pressure of tight deadlines
  • Possesses a high level of judgment, professionalism, tact, and diplomacy in interacting with a wide variety of internal and external stakeholders
  • Ability to work independently with a high degree of initiative, discretion, and tact; ability and willingness to work cooperatively in a team environment
  • Ability to problem solve and deal effectively with multiple priorities while maintaining a high degree of quality and accuracy
  • Highly proactive, persuasive, with strong interpersonal and negotiation skills
  • Proficiency in gathering and collecting data
  • Advanced knowledge of Microsoft Office Products
  • Excel; PowerPoint; Word; Access, Acrobat
  • Strong financial management and accounting experience
  • Excellent oral and written communication skills
  • Excellent social media skills (eg twitter, contributing to websi
