Responsibilities:
Your primary responsibilities as a Project Coordinator will vary.
Specifically, the Project Coordinator will:
- Implements detailed plans and recommends policies/procedures regarding program specific requirements.
- Conducts research into assigned area ensuring that such research takes into account developments within the field, corporate policies and practices, legislation and initiatives by other levels of government.
- Provides input, and administers, assigned budget, ensuring that expenditures are controlled and maintained within approved budget limitations.
- Drafts project documentation such as risk/issue management plans/logs, business requirements, project charters, procurement documents, cost tracking, project schedules, communication management plans, reports and presentations.
- Coordinates, in working with the Project Director and, the IT work package, Project Manager, project activities, communication, administration, planning, writing, and monitoring.
- Prepares business cases, feasibility (including economic, organizational, operational, technical impact) studies, project charters/plans and user documentation.
- Prepares reports for the Project Director and IT Project Manager making recommendations on project decisions, budgets, risk, issues and resource allocation.
- Prepares and monitors project budgets, taking action on issue and risk management pertaining to project expenditures.
- Develops and maintains risk, issue, action and decision log, and, project schedules.
- Documents meeting minutes and distributes project communications.
- Implements and maintains project management processes such as issue management, project change management and risk management.
- Facilitates the collection of program/project artifacts and manages the program's central repository.
- Liaises and coordinates with internal and external groups on accomplishment of deliverables.
- Prepares various formal contractual documents such as Request for Information/ Proposal/Quotation (RFI/P/Q), Statement Of Work (SOW), Memoranda Of Understanding (MOU) and Service Level Agreements (SLA).
Key Qualifications:
- Experience in coordination of Technology Services/IT projects in all stages of project life cycle, including development and control of a project schedule
- Education in Project Management with a focus on PMI's Project Management Body of Knowledge (PMBOK).
- Experience preparing or drafting project management plans and documents (e.g. statement of work, project charter, Work Breakdown Structure (WBS), risk management plan, scope document, resource plan, project schedule, Options analysis, financial documents and Request for Information/Request for Quotation/Request for Proposal (RFI/RFQ/RFP).
- Experience in managing small to medium size IT projects and the coordination of large IT multiyear complex projects through all stages of the project lifecycle.
- Experience in conducting feasibility analysis and producing associated reports in a Technology Services/IT environment
- Experience coordinating change management initiatives, various teams, and organizing multistakeholder projects to successful completion
- Experience with various project management tools (e.g. Microsoft Project) and methodologies for planning and implementing work packages.
- Experience in procurement processes, including the preparation of Requests for Proposal and Vendor Agreements / Statements of Work.
- Demonstrated ability to establish and maintain an effective consulting relationship with corporate clients and vendors with a strong customer service orientation.
- Project management professional designation such as CAPM (Certified Associate in Project Management) or Project Management Professional (PMP) would be an asset.
