The Events & Business Development Manager collaborates with internal stakeholders and external partners to build and maintain strong working relationships and coordinates the events and promotions programs within the defined business unit.

The incumbent is guided by defined procedural constraints and works under the moderate supervision of the Vice President, Retail Distribution.


What you'll be working on- Collaborate with Project Manager and Work Team leads for status of work/projects for status updates given to Senior Management/Steering Committees- Administer and ensure regular updates are provided for projects and processes on an on-going and ad hoc basis within the functional area- Provides support to specific members of the functional area to assist in the achievement of goals, objectives, and efficient operations- Oversight and ownership of all event budgets- Responsibility for all contract negotiations- Ensures the effective communication of information to key internal stakeholders- Coordinate internal and external sales and marketing events and sales meetings such as (but not limited to) Education Summits, Advisory Councils, National Sales Meetings, Roadshows and others- Liaise with external events management team for coordination of internal and external events- Understand the requirements for each event- Participate in planning events with attention to financial and time constraints- Coordinate and manage overall event logistics with external event management partner- Act as the first line of support for internal and external stakeholders for all events and conferences; coordinate, prioritize and respond to mail, telephone and electronic enquiries and/or forward to the appropriate person or department including but not limited to:

  • Liaising with staff-

  • Communicating key event timeline details-
  • Receiving and responding to staff questions-
  • Oversees the day to day coordination of all internal and external events
  • Ensure staff and contractors are confirmed and advised on expectations
  • Manage and maintain registration and communication with event attendees
  • Work onsite at to execute events with external event management partner at events such as (but not limited to) Education Summits, Advisory Councils, National Sales Meetings, Roadshows and others
  • Manage advertising and promotional activities as they relate to trade shows, educational conferences and events
  • Coordinate management of budgets for multi-million dollar programs and events,
  • Coordinate manage ordering of conference and event collateral and giveaways
  • Assist in the positioning, messaging, marketing communications, advertising and promotions for the Retail division as related to events, conferences and trade shows
  • Manage the departmental budget, research and make recommendations and coordinate the purchase, stocking and distribution of marketing support items for promotional purposes, direct mail projects and associated communications
  • Point of contact for vendor contracts; manage and update contracts in collaboration with Management
  • Collaborate with Project Manager and internal taxation department, Distribution Partners and Management to manage the required taxation documentation for conferences (including gifts) for Distribution Partners
  • Analyze daily/weekly/monthly (as required) conference standing reports and forecast projected attendance for all events on both a corporate level and individual lines of business level
  • Develop and maintain strong relationships with the sales teams and Distribution Partners
  • Researches and analyzes competitive programs and remains current on regulatory parameters and distribution partner needs
  • Coordinate and manage the payment of vendors; track payments for budgeting purposes
  • Coordinate account reconciliation including review of expense claims and ensure payment of invoices
  • Create and maintain payment tracking on a per event basis for budget reconciliation
  • May administer, coordinate or support various programs and projects within the business unit

What you'll need to have- 8+ years progressive experience within events management; ideally within a financial or insurance institution- Experience communicating with a broad range of individuals in all levels of the organization- Advanced knowledge of word processing, spreadsheet, database, and presentation software- Familiarity with various document management processes depending on functional area supported Completion of a community college diploma in business administration- Well-developed communication, negotiation and influence skills- Ability to think logically, analyze and solve problems- Ability to conduct research and analysis- Ability to organize/schedule both people and information- Tact, diplomacy and the ability to handle confidential information- Ability to develop and maintain effective working relationships
