The Operations Officer, Career Services is an integral member of the Career Services team.

The incumbent takes the lead in planning and executing quality processes to provide responsive customer service and support student success and retention at all Conestoga campuses.

The Operations Officer provides administrative, logístical, and project management support to management and Career Services staff.

The incumbent also works closely with management and Career Services staff to develop efficient business processes and ensure consistency in data collection and management.


The Operations Officer supports Career Services programming including coordinating in-class/faculty-requested workshops, providing logistics support for virtual/in-person programming and events, and tracking programming metrics.


Responsibilities:


Service Administration

  • Facilitates student access to digital and print resources for career exploration and planning, resume development, interview preparation, and job search
  • Provides student support in accessing career/employment technologies such as MyCareer, VMock, Career Coach or other like tools for clients' selfdirected use
  • Monitors career advising appointment bookings to ensure bookings fall within Career Services scope and appointment parameters, books and reschedules advising appointments
  • Creates documents that aid Career Services project planning such as project plans, meeting minutes, and status reports
  • Maintains Career Services' online resources by uploading materials, ensuring links are working, and updating outdated information
  • Monitors websites containing Career Services information to ensure information is up to date and accurate and sends departmental website changes to the appropriate marketing and communications teams
  • Assists the Communications Coordinator, Student Success with administrative functions related to developing marketing and communication materials that promote Career Services

Departmental Operations

  • Supports the development and continuous improvement of workflow processes
  • Completes order requisitions and identifies staff and service needs for instructional and noninstructional items, researching for suggested suppliers, completing purchase requisitions for Manager approval
  • Supports onboarding and offboarding of Career Services staff, ensuring appropriate accounts and portal access are created/deleted, notifies manager of new staff needs
  • Provides orientation and training related to office operational activities, policies, and relevant software systems
  • Updates and maintains orientation materials for new Career Services employees
  • Helps onboard Talent Hub frontline staff on services, procedures and resource
  • Liaises with Talent Development Officers to coordinate access to services, programming and resources
  • Generates student contract requests for payroll entry and approval
  • Submits payroll and work study forms, and ensures these documents are forwarded to Payroll/Financial Aid in a timely fashion
  • Works with Talent Hub staff and Campus Managers and Coordinators to ensure the consistent promotion of Career Services services across all campuses
  • Attends staff team meetings, supplying supported documents for circulation, and taking meeting minutes
  • Liaises with Student Affairs staff and other College personnel to clarify service delivery policies
  • Participates in outreach and marketing activities to promote Career Services and Talent Hub services on social media, such as LinkedIn, Twitter, Instagram, Facebook, enewsletters, etc.

Administrative & Logistics Support for Career Services Programming

  • Tracks faculty inquiries and requests for inclass workshops
  • Schedules Career Advisors for workshop delivery on a rotating basis
  • Works with the Career Services Coordinator to schedule cocurricular programming such as workshops, webinars and other events
  • Posts the event on the Cocurricular and MyCareer Portals
  • Provides logistics support for Career Services programming and events (virtual and inperson)

Assessment Support for Career Services

  • Tracks metrics for inclass and cocurricular programming on an ongoing basis i.e. CCR/MyCareer registration statistics, ZOOM analytics, live attendance, etc.
