Summary of duties


Under the direction of the Manager of Technology & Information Services, the ECM Specialist will collaborate with various stakeholders and business units to understand business processes, procedures, and organizational requirements and translate them into a recommendation for a suitable ECM (Enterprise Content Management), DAM (Digital Asset Management), and records digitization & business process automation solution(s).


Performing an inventory and analysis of physical records, digital media and records (contained within existing ECM's, shared file repositories, and external storage devices) will be required to determine capacity, migration, and digitization requirements.

This is a technical role that will involve requirements gathering, analysis, solution implementation, administration, training and support.


Qualifications

  • Bachelor's Degree, Diploma or equivalent work experience in Computer Science,
  • Experience with implementation of ECM and DAM solutions covering key areas including business process analysis, requirements gathering and analysis, information architecture development, content and data migration, etc.
  • Knowledge of, and experience in, OpenText, M365 (SharePoint, Teams, OneDrive) and other content management technologies and solutions.
  • Demonstrated knowledge and experience using electronic indexing and naming conventions to connect systems between databases, scanners, multifunctional printers, and data storage locations.
  • Business process automation and imaging software experience.
  • Knowledge of records and information management.
  • Excellent problem solving, communication and interpersonal skills.

Experience

Previous: Minimum two (2) to three (3) years' experience in a similar position.

On the Job: Twelve (12) months on the job to become familiar with AUPE specific technology and AUPE policies and procedures.


Key activities

  • Work independently and within crossfunctional teams to gather requirements.
  • Present solution alternatives based on business requirements.
  • Review and update the existing Business Classification and Retention Guide alongside implementing the ECM solution to ensure relevant and accurate record classifications and retentions are applied and reflected within the ECM solution.
  • Collaborate with other departments to analyze business needs and requirements to determine and design solutions to streamline and/or automate current business processes and manual and/or paper forms.
  • Recommend best practices and processes for digitizing various types of records.
  • Review business processes and make recommendations/implement changes to improve and support core business activities.
  • Develop and maintain documentation, including installation guides, configuration procedures, and troubleshooting steps.
  • Determine user access, security permissions, and authentication mechanisms required within the ECM environment.
  • Develop, test, and maintain document structure and repositories.
  • Follow best practices to produce clean, efficient and maintainable platform configurations.
  • Provide technical support for endusers, including troubleshooting issues, answering queries and providing advice on problems and questions.
  • Provide training as needed.
  • Perform other jobrelated duties as assigned.
