The Opportunity


Reporting directly to the Supervisor, Records & Information Services/Deputy Clerk, this role is responsible for assisting with the development, implementation, training and maintenance of the Town's Corporate Records and Information Management Program specializing in both electronic and paper records.

This position also provides records management consultation, education and guidance to staff across the organization.

As the Coordinator, Records and Information you will perform the following duties, including but not limited to:

  • In consultation with the Deputy Clerk and Specialist, Legislative, assist in the design, development and maintenance of the Corporate Records and Information Management Program and associated policies and required procedures
  • Assist in the implementation, daily operation and future expansion of the Corporate Records and Information Management Program for both paper and electronic records by providing consultation services, training and education to staff about the program and providing guidance to employees in all aspects of records management
  • Analyze the current records practices utilized in each Corporate Department/Division to understand the operational value of information being collected/retained and benchmark against industry best practices to recommend process improvements consistent with the Corporate Records and Information Management Program
  • Assist with the creation, maintenance and implementation of the Town's records classification system (TOMRMS) and maintain an orderly and efficient repository of electronic and paper records
  • Develop training materials, manuals and presentations for employees on records management and provide training and support on the Town's records management software
  • Monitor and organize content in the Town's records management software
  • Assist in the daily operation of the Records Centre to provide retrieval and disposition of records
  • Support the digitization of physical records by preparing, packaging and tracking files sent to a vendor as well as complete quality control review
This position offers a salary range of $59, $72,358.50 plus a competitive benefit package.
