Job Summary


This position is responsible for the Student Housing and Community Services (SHCS) tool crib and Storekeeping function including tracking, sourcing, receiving, storing, repairing, and distribution of tools, equipment and other supplies.

This position supports inventory control of tool crib and stores for Student Housing and Community Services.

provide expertise and arrange for tools, equipment, supplies, budgets, and the timely upkeep of data/invoicing processes or operational systems with relevant SHCS units and colleagues.

Organizational Status

Reports to the Associate Director, Facilities and takes direction/daily tasks from the Sub-Head Tool Crib/Store Operator.

Work Performed


Receives tools, equipment and other deliveries using forklift, pallet-jacks, or by hand and checks all items against purchase orders and request forms.

Assists in planning and arranging storage space and operates equipment to stack, move, load and unload items to designated areas.

Assembles, picks up, arranges, and/or delivers tools, equipment, appliances, furniture and other supplies according to order and good requests, for and between campus units.

Follows-up to takes action to correct shortages, damaged or defective goods, assembles new equipment and furniture as required, dispatches non-stores items to appropriate units.

Inspects tools, equipment and other supplies for damage and operating condition and stores in appropriate location.

Completes preventative maintenance repairs, or makes arrangement for the repair or replacement of damaged items, including, but not limited, to tools, equipment, furniture and other supplies.

Provides expertise and advice to users on the usage, maintenance, and selection of tools, equipment, furniture, and other supplies.

Arranges for the renting of tools, equipment, furniture and other supplies not available in the department to designated areas.

Provides training to borrowers in the proper handling and operation of all tools, equipment, furniture, and other supplies under the control of stores.


Supports upkeep of inventory and stock control systems and relevant databases of the tool crib and stores for Student Housing and Community Services with relevant SHCS unis and colleagues.

Maintain records of stock issues and relevant parts, supplies, goods, equipment, and tools that have been delivered, or signed out.

Checks inventory on a scheduled basis to avoid overstocking, under stocking and dead stock build-ups. Monitors and performs work through SHCS work request and assigning systems. Completes processes to initiate requests for goods, payment of goods, and relevant tracking systems for these items.

Identifies needs for stock replenishment and new items and makes selection recommendations to their supervisor, department leads and purchasing. Maintains the SHCS operational recycling program including appliances, scrap metals, light bulbs, batteries, and other items as required.


Supports the work of stores personnel and service staff by assisting with checking work, training as needed, assisting with the appraisal of performance and providing overall direction.

Assists in arranging and completing all relevant training, including forklift recertification training sessions for Stores personnel and other users as requested by their supervisor, and department leads.

Responsible for completing safety checks and procedures as required by the position.

Ensures that employees and other staff in the same work setting work in a correct and safe manner and in accordance with all normal safety standards and practices and University and departmental policies and procedures.

Works in a correct manner and checks to insure work is completed in accordance with requirements, specifications, and applicable codes.

Works in a safe manner, and is trained in regard to all necessary safety and environmental regulations, standards, practices and procedures.

Ensures safety practices are in compliance with applicable building codes, WorkSafeBC regulations, UBC SHCS Services policy and UBC policy.

Carries out any other related duties as required in keeping with the qualifications and requirements of positions
