Position Summary:
Reporting to the Registrar, the Associate Registrar is responsible for all student academic and attendance record keeping. This includes compiling, maintaining, and tracking student academic information and records for internal and external analysis and/or use. This position acts as the central records facilitator for permanent academic information on current and prior students. The Associate Registrar shares the responsibility for the successful enrollment and persistence of both online and on ground students.


Key Job Responsibilities:

  • Maintain student's academic and attendance records in accordance with regulatory requirements and internal procedures, ensuring accuracy, integrity, and confidentiality of information.
  • Assist with and help to coordinate quarterly registration and clearance activities.
  • Interact with Program Directors/Academic Advisors to ensure students are properly enrolled.
  • Promote student success through data management, ensuring this information is compiled and distributed in a timely and accurate manner as needed.
  • Continue to improve the timeliness of information processing through effective system management, staff development, and interdepartmental communication for internal and external constituencies.
  • Ensure the academic policies are complied with consistently.
  • Ensure compliance for graduation requirements.
  • Participate in all aspects of the transfer credit process and assist Registrar in the maintenance of appropriate processes for the formal articulation of transfer credit.
  • Assist with online programs as needed.
  • Work collaboratively with other departments and their team members/managers
  • Assist the Registrar with other functions as necessary and participate in projects that support innovation and efficiency for the Office of the Registrar.
  • Participate in college events (orientation, convocation), on committees and other related liaison activities.
  • Ability to recognize and maintain the confidentiality of sensitive personal and operational information.
  • Other related duties as assigned.

Job Requirements:

Knowledge:

  • Bachelor's Degree required.
  • At least three years of related experience working in preferably a private postsecondary institution.
  • Knowledge of student study permit regulations.

Skills:


  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with both peer and student populations.
  • Excellent organizational, administrative, and problemsolving skills with superior attention to detail and accuracy.
  • Strong computer skills and proficiency with Microsoft Office.

Abilities and Attributes:

  • Work effectively as a team member to ensure that departmental goals are met.
  • Ability to understand the school revenue process, and compile and disseminate data as it relates to enrollment.
  • Ability to comply with regulatory requirements with respect to student academic records and other documentation.
