Position Summary and Objectives:
The Operations Supervisor reports to the Director, Property Management and is responsible for the operation of a portfolio of buildings with oversight and direct supervision of a team of building operators.
Responsibilities:
Deliver Excellent Service to Tenants:
- Build effective relationships with tenants, tenant representatives and visitors to meet reasonable tenant expectations and lease obligations
- Be visible and available to meet with tenants on an ongoing basis to answer questions concerning the property and resolve matters of concern to tenants
Maintain Quality Building Premises:
Ensure building safety and adherence to occupational health and safety standards including hazardous materials handling laws and regulations
:
- Be involved with the maintenance and ongoing improvement of WHMIS, environmental, health and safety programs; electrical safety, lock out procedures, log books etc.
- Ensure compliance with Occupational Health and Safety rules and regulations and execute all work in a safe and professional manner
- Oversee that proper record keeping is being maintained for fire and life safety programs, ensure fire logs, inspections are completed by buildings staff as require by fire code
- Perform ongoing development and enhancements of safe work procedures and critical task assessments
- Direct staff, tenants, etc. during emergencies within the properties
Ensure efficient and effective building operations
:
- Ensure properties are operated in a cost effective manner providing responsible service and reasonable accommodation
- Be responsible for the efficient and effective control of all base building equipment and systems including life safety, chillers, boilers, centrifugal pumps and various airhandling systems
- Oversee proper operation and maintenance of building automation and security systems, including HVAC, lighting
- Ensure Building Operators maintain inventories and have necessary materials and supplies
- Ensure that detailed logs, checklists and inspections to standards expected in a LEED or BOMA facility, are being maintained and support the ongoing achievement of those performance standards
Provide support to other Crown team members
:
- Maintain on call schedules for Building Operators
- Provide mentorship and guidance to operation team members
- Provide administrative support as required on items such as capital and operational projects
Coordinate external contractors and service providers
:
- Coordinate onsite tenant construction ensuring correct protocol to Crown's standards are met and asbuilt documentation is provided and filed when complete
- Assist with Construction Management including Capital and Leasehold Improvements
- Work and follow up with service contractors to ensure contractual obligations are being met
- Supervision of scheduled maintenance contracts and related services, including, but not limited to, interior/exterior maintenance, HVAC Systems, life safety systems, and cleaning services to ensure that value is received and an appropriate level of service is provided at the properties
- Administer existing service contracts and coordinate retendering of contracts
Promote Environmental Sustainability in Building Operations:
- Seek opportunities and support best practices to reduce energy consumption
- Work with waste removal contractors to maximize diversion from landfill
- Assist with the management of disproportionate hydro consumption and billings and monitor energy usage
- Assist with BOMA BESt and LEED submissions, updates and green management practices
- Actively participate in energy management practices for all mechanical and ventilation systems, seek and identify areas for improvement on an ongoing basis; communicate savings
Ensure Accuracy and Reliability of Financial Information for Properties, Working with Accounting:
- Assist with budget preparation, Capital and tenant Projects and all aspects of operations
- Review and send for approval expenditures for materials, equipment, tools and supplies
- Execute all Purchase Requisitions/Orders in a timely fashion with a sense of urgency based on your level of purchasing authority

Qualifications
Education
- A postsecondary degree preferred
- BES I/II or other equivalent technical designation, or in pursuit of designation
Professional Experience:
- Minimum of 5 years experience in a similar role with commercial properties
- Continuing involvement with professional organizations such as BOMA and IREM
- Excellent client relation skills both with owners and tenants
- Knowledge of LEED and BOMA standards
- Knowledge and understanding of construction practices/techniques, project controls and building supp
